    Branch Assistant - Zastron

    Main purpose of the position:

    • Execution of assigned responsibilities, marketing and customer service within a trading branch environment.

    Minimum Requirements:

    • Grade 12;
    • 1 – 2 years experience in a trade branch a recommendation;
    • 2 years experience in customer service and marketing an advantage.

    Skills:

    • Computer literate (MS Office);
    • Sound communication and language skills in Afrikaans and English;
    • Good numerical ability;
    • Good organisational skills;
    • Good sales skills.

    Responsibilities:

    • Marketing and providing excellent customer service;
    • Handling of cash;

    Manager

     Core purpose of position:

    • To take full responsibility for the efficient day-to-day management of OVK's Distribution Centre in Bloemfontein, with a strong focus on service delivery, inventory control, route execution, people management, cost control and loss limitation.

    Minimum Requirements:

    • Grade 12; an appropriate qualification in logistics, supply chain, warehouse housekeeping, or management is a strong recommendation;
    • At least 5 years of relevant experience in a distribution center, warehouse, or logistics environment;
    • At least 2 years of experience in a supervisory or managerial role;
    • Proven experience in route planning, inventory control, personnel and fleet management;
    • Experience in an agricultural, retail, or FMCG distribution environment will be a recommendation;
    • Knowledge of purchasing processes, budget control, occupational health and safety, as well as applicable transportation requirements will be a recommendation;
    • Good computer skills and experience in AS400, inventory or warehouse systems;
    • Valid driver's license and willingness to be available outside normal hours when operations require it.

    Responsibilities: 

    • Manage the Distribution Center's day-to-day operations and ensure safe, efficient, and cost-effective execution;
    • Plan and schedule delivery routes; monitor compliance with routes, cut-off times, and service levels;
    • Continuously liaise with group buyers and other internal role players about inventory needs, availability and priorities;
    • Manage designated purchases within approved policies, budgets, authorizations, and inventory parameters;
    • Apply appropriate operational, inventory, financial, and security controls and report deviations;
    • Managing staff, drivers, performance, discipline, training, shifts, and capacity planning;
    • Manage the fleet, including vehicle availability, licenses, services, maintenance, fuel consumption, and inspections;
    • Coordinate inventory surveys and cycle counts; investigate and correct inventory differences;
    • Ensure cleanliness, order, safe stacking and good housekeeping in the warehouse and yard;
    • Manage returns, claims, and follow-up actions to final settlement and limit losses, damage, and obsolete inventory.

    Assistant Manager

    Core purpose of the position:

    • To support the Distribution Center Manager and through strong, visible oversight on the warehouse floor, ensure that inventory is picked, checked, packed, and shipped according to the route schedule accurately and on time.

    Minimum Requirements:

    • Grade 12; an appropriate certificate or diploma in logistics, warehousing or supervision is a recommendation;
    • At least 3 years of relevant experience in a warehouse or distribution environment, with supervisory exposure;
    • Practical knowledge of picking, packing, loading, inventory control, and inventory survey processes;
    • Experience with route schedules, returns, and performance control is a recommendation;
    • Knowledge of safe warehouse practices and occupational health and safety is a recommendation;
    • Computer proficiency and experience with inventory or warehouse systems;
    • Valid driver's license and willingness to work shifts or extended hours where necessary;

    Skills:

    • Strong organizational, communication, and problem-solving abilities;
    • Accuracy, accountability, and the ability to perform under operational pressure;
    • Service-oriented mindset and good cooperation with internal role players.

    Responsibilities:

    • Support the DC manager in executing the operational plan and observe when necessary;
    • Maintain visible supervision on the warehouse floor and coordinate daily work assignment;
    • Issue approved pick lists and control the flow of picking, checking and loading activities;
    • Ensure that loads and inventory are "picked" and ready completely, accurately and on time;
    • Monitor that vehicles depart according to the established route schedule and cut-off times;
    • Check that inventory is packed in the correct location, quantity, and according to safe stacking practices;
    • Coordinate cycle counts and inventory surveys and report differences immediately;
    • Control returns, damaged inventory, quarantine inventory, and floor administration by procedure:
    • Enforce safety, cleanliness, and housekeeping standards and escalate operational risks.

    Administrative Officer

    Core purpose of position:

    • To complete the Distribution Center's administrative processes completely, accurately and within set cut-off times, and to provide reliable document and system support to the operations team.

    Minimum Requirements:

    • Grade 12 with Accounting or a related administrative subject; an appropriate administrative qualification is a recommendation;
    • At least 2–3 years of relevant administrative experience, preferably in logistics, distribution, inventory, or creditors/receivables;
    • Strong computer skills, especially in Microsoft Excel and an AS400 or inventory system;
    • Good Afrikaans and English communication skills.

    Skills:

    • Strong organizational, communication, and problem-solving abilities;
    • Accuracy, accountability, and the ability to perform under operational pressure;
    • Service-oriented mindset and good cooperation with internal role players.

    Responsibilities:

    • Ensure timely, complete and accurate completion of all Distribution Centre administration;
    • Keep time schedules, attendance, leave, overtime, and shift records up to date and submit them on time;
    • Process and check GOBs within the appropriate cut-off times and follow up on outstanding documentation;
    • Compile and file shipping documents, freight statements, delivery documents, and other logistical records;
    • Handle invoicing and ensure that transactions are processed against the correct documentation and inventory movements;
    • Fully and accurately record claims, returns, shortages, and damaged inventory and maintain a follow-up register;
    • Reconcile documents and system transactions; identify and escalate anomalies without delay;
    • Provide administrative support to the manager, assistant manager, drivers, and relevant departments;
    • Preserve records in accordance with OVK's procedures, audit requirements and applicable legislation.

    Receiving Clerk

    Main purpose of the position:

    • Execution of assigned responsibilities, marketing and customer service within the mechanisation environment.

    Minimum Requirements:              

    • Grade 12;
    • 3-6 months in service training – Mechanisation;
    • 1-2 years of relevant experience will beneficial;
    • Valid drivers license.

    Skills:

    • Computer literate (MS Office);
    • Sound communication and language skills in Afrikaans and English;
    • Sales skills;
    • Organisational ability;
    • Marketing

    Responsibilities:

    • Provide customer service and marketing;
    • Inventory management;
    • Shelf care;
    • Performing administrative functions.
