    Onboarding Administrator (Rentals)

    • South African's #1 Property Investment Group is looking for a Onboarding Administrator (Rentals) to join their team in Cape Town!
    • With your previous working experience within the property industry, you will responsible for managing the seamless transition of existing tenants from another rental agency to IGrow. This role ensures that all necessary documentation is received, verified, and recorded accurately while maintaining clear and consistent communication with all stakeholders.

    To qualify for this position you need:

    • Matric Qualification
    • Previous working experience within the property industry.
    • Proficiency in data entry and CRM/property management. systems.
    • Strong administrative and organisational skills.

    Financial Administrator

    • We are seeking a diligent and organized Finance Administrator to manage and oversee the financial operations related to our property rental portfolio. The Finance Administrator will be responsible for processing financial transactions, maintaining accurate financial records, preparing reports, and supporting the overall financial management of the property rental business.

    To qualify for this position, you need:

    • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred).
    • Minimum 2-3 years of experience in financial administration, accounting or property management.
    • Strong attention to detail and accuracy.
    • Ability to handle multiple tasks and prioritize effectively.
    • Strong communication and interpersonal skills.
    • High level of integrity and confidentiality.
    • Ability to work both independently and as part of a team.

    Duties and responsibilities include, but not limited to:

    Financial Management

    • Ensure accurate and timely processing of rent payments, including managing accounts receivable and tracking late payments.
    • Reconcile financial transactions, bank accounts, and ledgers related to property rentals.
    • Monitor and update tenant payment records and chase overdue payments in accordance with company policies.

    Tenant Billing & Invoicing

    • Create and send out rental invoices, ensuring accuracy and timeliness.
    • Ensure tenants' deposits are appropriately accounted for, tracked, and returned when applicable.
    • Prepare and issue receipts for payments and coordinate rent increases in compliance with lease agreements

    Property Maintenance & Vendor Payments

    • Manage and process invoices for property-related expenses (maintenance, repairs, utilities).
    • Ensure timely payment to vendors and contractors and maintain proper records of transactions.
    • Communication & Customer Service
    • Handle inquiries from tenants and property owners regarding rent payments, financial statements, and invoices.
    • Work closely with the property management team to resolve any financial or operational issues.

    Property Portfolio Manager

    • IGrow Wealth Investments, South Africa’s #1 Property Investment Company, is looking for a Property Portfolio Manager to join their team in Cape Town.

    To qualify for this position, you need:

    • Matric
    • Minimum 2 years of experience in a similar position
    • Experience with rentals environment
    • Experience with PayProp System
    • Great administrative skills
    • Detail oriented
    • Excellent communication skills and telephone etiquette

    Duties and responsibilities include, but not limited to:

    • Manage a property portfolio of 180 - 250 properties.  
    • Attend to day-to-day maintenance tickets, exit and quality control inspection processing on the rental portfolio.
    • Monthly list to team or tenants that are vacating on allocated portfolio.
    • Send vacating checklist to all tenants who give notice on allocated portfolio.
    • Attend AGM’s on allocated blocks in person or via Zoom.
    • Monthly walk around blocks managed and report to managing agents on findings- follow up on items that need to be attended to.
    • Receive rental applications and open file on laptop, prepare all documents.
    • Upload lease to PayProp and debit order form.
    • Create the property, tenant and invoice on Payprop.
    • Determine what accounts are being paid for the landlord. Have those accounts redirected to IGrow and ensure the correct amounts are paid every month.
    • Send monthly statements to Landlord.
    • Send monthly statements and invoices to tenants.
    • Attend to monthly reconciliation of rental payments on allocated portfolio.
    • Attend to monthly account payments for Landlord.
    • Attend to deposit refund payments within 14 days.
    • Load deposit processing fee on deposit refunds.
    • Follow up on tenants in arrears as per strict process LOD on the 4th of every month.
    • Investors to be kept updated on late payments at all times.
    • Have an action plan in place to collect arrears.
    • Eviction instructions to be handed to attorney’s obo owner if requested.
    • Download contracts expiring from Payprop according to 40/80 rule, negotiate renewals accordingly to ensure all invoices have been loaded.
    • When warning letters are received by Body Corporate, send to tenant, and keep track that it is followed up on.
    • Attend to problems with water and electricity accounts.

    Building Manager -Parklands

    Job Summary:

    • The Building Manager is responsible for overseeing the daily operations, maintenance, and tenant management of residential let properties in various complexes. This role ensures that the owner's properties are well-maintained, compliant with regulations, and provide a high standard of living for tenants. The Building Manager acts as the main point of contact for tenants, contractors, and property owners, ensuring smooth operation and profitability of the rental units.

    To qualify for this position you need:

    • Strong knowledge of building maintenance and repairs.
    • Excellent communication and interpersonal skills.
    • Ability to handle tenant concerns professionally and efficiently.
    • Conflict management experience
    • Strong problem-solving and organizational skills.
    • Familiarity with relevant property laws and regulations.
    • Proficiency in property management software  - Red Rabbit (advantageous).
    • Have own vehicle to travel between closely located complexes

    Work Environment & Schedule:

    • Based on site as a live-in  manager.
    • Must be available outside of regular working hours to address matters which may arise
    • Will be required to manage multiple buildings
    • Will be required to assist with viewings when required

    Duties and responsibilities include,but limited to:

    • Owner Property Maintenance & Operations:
    • Oversee the general upkeep and maintenance of the owner's property, ensuring it remains in excellent condition.
    • Schedule and coordinate minor repairs and  maintenance work as needed in the owner's property
    • Conduct regular inspections in the owners property to identify maintenance issues and ensure compliance with safety standards.
    • Provide weekly report to Management on Maintenance, Inspections, Rental collections and Tenant matters.

    Tenant Management:

    • Serve as the primary point of contact for tenants, addressing enquiries, complaints, and requests.
    • Ensure timely rent collection and follow up on arrears.
    • Handle tenant move-ins and move-outs, including inspections and key handovers.
    • Enforce lease agreements and property rules to maintain a positive living environment.

    Health, Safety & Compliance:

    • Be up to date with all compliance and regulatory requirements, including health and safety standards.
    • Maintain records of inspections, maintenance work, and tenant communications.
    • Implement emergency response plans and ensure tenants are aware of safety procedures.

    Financial & Administrative Duties:

    • Monitor expenses and work within allocated budgets
    • Team & Contractor Management:
    • Oversee external maintenance contractors teams and sign off on completed work

    SAIPA or AGA(SA) Accountant

    To qualify for this position, you need:

    • Professional Accountant (SA) (registered with SAIPA) or AGA(SA) (registered with SAICA) with 1+ years post articles in a management/supervisory position
    • Knowledge of relevant computer programs such as Caseware (or any equivalent auditing program), Xero, Payroll packages and Microsoft Excel
    • Experience managing a team and client engagements
    • Bilingual in English (Fluent)/ Afrikaans (Understand)
    • Attention to detail
    • Excellent communication skills (both verbal and written)
    • Strong analytical and numerical skills

    Duties and responsibilities include, but not limited to:

    • Compilation of annual financial statements according to IFRS for SME’s
    • Processing accounting transactions up to trial balance
    • Supervising and providing guidance to a team of SAIPA Trainees
    • Review of work performed by Trainees, including accounting processing, Annual Financial Statements, Income Tax Returns, Provisional tax calculations, VAT and EMP recons and submissions
    • Raising adequate review queries on work performed by Trainees to promote a learning environment
    • Manage client portfolios and maintain sound client relationships
    • Personal income tax calculations and submissions
    • Leading team meetings and team training sessions on occasion
    • Providing IGrow investors with guidance, by implementing trusts as well as corporate and commercial structures, to optimise tax benefits, wealth creation and risk mitigation
    • Supervising timely submission of all deliverables
    • SARS appointments and queries
    • Any other output that may be reasonably required from this role
    • Ability to perform without constant supervision
