    Senior Facilities Manager

    Job Description

    What this job involves

    JLL Integrated Facilities Management (IFM) is currently searching for an experienced Senior Facilities Manager (SFM) to oversee the successful delivery of hard and soft facilities services across our client’s corporate office in Cape Town. Ensuring a high level of client satisfaction, establishing and managing the facilities service delivery team, the Senior Facilities Manager will manage the day-to-day client activities for the assigned property. The role ensures efficient and consistent operation of all facility activities to meet contractual obligations with respect to the property portfolio of the client, achieving the Client’s FM outsourcing objectives of cost savings, consistency and risk management.

    Your responsibilities:

    • Develop, gain consensus for, and implement the Best Practice / building operation Plan for assigned assets.
    • The SFM is responsible for the management, supervision, and professional development of all direct reports (e.g., Facility Managers, Office Services Coordinators, and Building Operations Coordinators).
    • Establish written goals and objectives for employees directly reporting to the role of SFM. Conduct periodic formal and informal performance evaluations via the performance system. Develop training program and career path for property employees. Assure succession planning is in place for all team members.
    • Work with the Financial Manager to prepare the final budget documentation / plans and administers the works to ensure budget compliance.
    • Inspect facilities and equipment to determine extent of service and equipment required.
    • Arrange for alterations to, or maintenance, upkeep, or reconditioning of facilities as specified in the operating procedures, management plan and / or management services agreement and of leased premises as dictated by lessee's agreement.
    • In conjunction with the sourcing team, manage contracts to assure high quality and cost effective services. Assemble and analyse contract bids, and submit recommendations and prepare necessary agreements if required (eg Purchase Orders/ Contract Amendments).
    • Primary contact for clients in relation to service requests. Proactively meet with Client’s representatives on scheduled basis. Communicate regularly with the client, providing necessary support and information on the status of all areas.
    • Approve purchases of supplies and equipment for use at managed office buildings.
    • Prepare periodic inventory of building contents and property condition and forward listing to Client for review.
    • Contract for services of janitorial maintenance and landscaping personnel and onsite management personnel, as delineated within the operating budget, management plan and/or management services agreement.
    • Ensure that all defined services are completed in accordance with all operating procedures, statuary requirements, and within the Health and safety guidelines.
    • Ensuring that services are reviewed and refinements made to enhance these services.
    • Develop a close working relationship with all of the vendors to ensure that they fully understand the Client culture and are made to feel part of the team delivering a high quality service.

    Act as the building primary contact for non-engineering service contractors and vendors.

    • Track record in a senior facilities management position
    • Qualifications in Facilities Management will be advantageous
    • Experience of owning facilities contracts and supplier/ contractor management.
    • Experience with Facility legislation and governing bodies
    • Knowledge of critical facilities and understanding of technical aspects of property
    • Management of schedules, budgets, contracts, invoices, processes
    • Excellent organisational and communication skill (both written and oral)
    • Must be fluent in English and local language
    • Experience in translating client’s needs
    • Excellent people skills and ability to interact with a wide range of client staff and demands
    • Strong PC literacy and proven ability to manage daily activities using various systems.
