    Administrative Assistant

    Job description

    POSITION SUMMARY:

    Proactive customer focused service to the Finance and Business Affairs Director in providing administrative and office support and performing a variety of administrative and clerical tasks.

    HALF DAY role (8am to 1pm - Monday to Friday)

    RESPONSIBILITIES/ DUTIES:

    • Organize and schedule travel, appointments and meetings.
    • Take detailed minutes at meetings.
    • Develop and maintain a filing system for paper and electronic files.
    • Answer and direct phone calls.
    • Write and distribute email, correspondence memos, letters, faxes and forms.
    • Submit and reconcile expense reports.
    • Assist in the preparation of regularly scheduled reports.
    • Order office supplies as required and research new deals and suppliers.
    • Prepare purchase orders for approval and coordinate invoice submission for payment.
    • Provide general support to visitors.
    • Act as the point of contact for internal and external requests and queries.
    • Liaise with Finance and Business Affairs executive to handle requests and queries from senior managers.
    • Assist Finance Director in management of the company car fleet and related administrative tasks.

    EDUCATION AND WORK EXPERIENCE:

    • Matric and/or secretarial diploma
    • Experience in office support or services role
    • Strong typing skills and familiarity with MS Office programs essential
    • Friendly, customer service orientation
    • Strong interpersonal skills (internally and externally)
