    Finance Administrator

    Job description

    Job Description The purpose of this role is to assist with the financial management of the IDIP PSO within the Infrastructure Delivery Division.
     
    Key Responsibilities Operational Functions

     

    • Assist team in determining the management fee and profitability (including the treatment of subsistence and travel disbursements)
    • Review allocations to identify the cost centre (including to various programmes if project accounting is set up on SAP) and inform finance of any adjustments required
    • Respond timely to queries for financial information
    • Interpret and communicate financial data to non-financial managers
    • Produce ad-hoc financial reports as directed and needed to support informed decision making

       

    Financial Management Functions

     

    • Support Programme Manager during project/programme budget preparation
    • Create and approve project account codes and cost structures on project management system
    • Upload approved budget on the system
    • Review and recommend payment of disbursement requests on the project management system (approval of purchase orders) to ensure correct allocations
    • Review payment requests (including travel) before submission to finance for payment
    • Assist with preparation of project cost reports, financial reports, variance analysis and commentary for project/programme reporting
    • Review cost allocation to project/programmes on programme management system, follow up on possible omissions or incorrect allocations and process adjustments
    • Monitor and track programme and/or project budget spending
    • Assist with project/programme financial close-out
    • Responsible for all programme account matters;
    • Checking and verifying supplier claims;
    • Dealing with the allocations of reimbursable;
    • Reconciliation of programme accounts on a monthly basis;
    • Dealing with and managing payments;
    • Recording programme financial information;

       

    Expertise & Technical Competencies
    • A Diploma in Accounting /Financial management is required.

       

      • A minimum of 5 years of experience in a similar job function
      • Relevant financial management experience in a project environment
      • Exposure to Supply Chain Management within the government environment is a minimum requirement
      • MS Office proficient
      • Understanding of government priorities, systems and processes
      • Skills to function within a team
      • Strong verbal and written communication skills
      • Solution and deadline orientated
      • Sound understanding of financial management, expenditure management, budgeting.
      • Strong analytical skills
      • Skills to ensure all governance and compliance requirements are met with the aim to eliminate potential inappropriate and corrupt practices
