    Job Description & Summary

    Roles & responsibilities:
    Learning & Development

    • Assist with administration for all Service Delivery Centre new joiners – schedule the sessions, book the rooms, update LMS (Vantage) when needed;
    • Assist with admin for training held during the year – booking room, sessions, sorting out catering;
    • Assist with ad-hoc queries and obtain evidence from Vantage;
    • General filing and
    • Attendance registers and admin thereof.

    Administration (General Personal Assistant activities)

    • General administration – printing, typing minutes of meetings, formatting documents from Word or Excel to Google Docs or Google Sheets;
    • Assist with all Travel requests for the Service Delivery Centre;
    • Manager conferences – printing, co-ordination, catering etc;
    • Service Delivery Centre Technical Breakfasts – printing, venue, catering etc;
    • Scheduling internal meetings.

    Reporting spreadsheets/CCI

    • Emailing audit managers to obtain Oracle codes and then updating the Service Delivery Centre Reporting spreadsheets with the correct Oracle code;
    • Reviewing google drive for Phoenix/Envoy homepages – follow up with managers that have not loaded the homepage on the drive.

    Confirmation.com

    • Extract the weekly office activity report for the Service Delivery Centre PE from Confirmation.com for the weekly reimbursement;
    • Prepare supporting documentation and the reimbursement form to be uploaded to the database;
    • Collate the fortnightly journal;
    • Follow up on unposted items in order to reduce the suspense amount;
    • Upload all documentation to the Google Drive;
    • Assisting with CCI queries.

    Monthly journal

    • Upload the monthly journal and the return items to Google Drive.

    Study Leave

    • Collate proof of registrations;
    • Collate results;
    • Ongoing maintenance on Google Drive.

    Essential skills

    • Proficient in use of MS Word (Advanced) and preferably Google Suite;
    • Pro-active and able to use own initiative to ensure full support is given to the Manager group;
    • Pay attention to detail;
    • Ability to interact with clients, managers and partners professionally;
    • Good writing and typing skills;
    • Good interpersonal and communication skills;
    • Ability to handle confidential and sensitive information;
    • Reliable, motivated, results-orientated, able to work under pressure, able to multi-task;
    • Team player and
    • Ability to prioritize and meet deadlines.

    Minimum years experience required

    • 3 years related experience in a professional environment
