    Administrator - Human Resources.Human Resources

    Job Description

    • Tactical Implementation
    • Assist with driving best practice, excellent employee experience and iterative improvement and innovation (inclusive of data management and
    • integrity) across the Business Units (BU)
    • Collaborate with various stakeholders in HR to identify opportunities for improvement and efficiency of service. This includes:
    • Collaborating with Employee Experience team to both understand areas for improvement, consultation and further explorations as well as to
    • advise on insights gained
    • Collaborating with Business Partnering Consultants, People Solutions and, People Services for feedback on data quality and improvement
    • opportunities for HR Administration and data accuracy
    • HR Administration Operational Delivery
    • Own and execute on HR queries end-to-end, Using the support of others to help resolve queries where necessary
    • Supports with HR-related queries and requests from the business unit by performing administrative tasks for the business partnering function.
    • Take the lead and support on employee administration across the employee lifecycle. This may include (but is not limited to):
    • Supports Talent Acquisition team with interview and assessment scheduling as well as security checks.
    • Administers onboarding processes and new hire orientation – coordinates BU team members who are required during onboarding.
    • Schedule meetings, hearings and scheduling for employee relations, and support with setting up ER letters.
    • Support Employee relations with administrative tasks and hearing capturing.
    • Administer probation processes and ensure that necessary meetings are schedules and sign-offs received.
    • Escalate queries to People Solutions/People Services in these instances where they cannot support or resolve the queries themselves.
    • Uploads employees’ personal data such as scanned IDs
    • Schedules exit interviews and administers offboarding processes.
    • Validating employee data and cost centre data aligned to employee lifecycle
    • Raise awareness within the business unit to position the HR Administrator as first point of contact for HR-related queries.
    • Enable employees to use self-service where it can support in query resolution
    • Inform ESC administrators of employee file-related queries and ensure that data is correctly captured and updated
    • Connect with HR Consultants in the case of escalated queries
    • Liaise with vendors on employee queries (e.g. double premiums)
    • Support the enhancement of the employee experience by identifying gaps and suggesting improvements across the HR value chain within the BU.
    • Data Management
    • Conduct data capturing and management activities such as filing, ensuring that the right archive procedure is followed, as per the guidelines from
    • the Employee Service Centre
    • Reconciling of data and clean-up compared to actual headcount on a monthly basis.
    • Responsible for maintaining the data compliance, which includes updating and maintaining organisational charts.
    • Conduct data capturing according to set data integrity standards (e.g. Data capturing of employee disciplinary records on Oracle)
    • Governance, Policies and Procedures
    • Ensure effective implementation of (and compliance towards) company policies, processes, and procedures
    • Assist with providing solutions to escalations that impact on critical path of service delivery
    • Proactively flag and escalate issues and manage impacts on resources, cost and productivity
    • Check, analyse and understand regulatory and technological environments and shifts which impact the business, continuously.

    • QUALIFICATIONS

    Education

    • Minimum Requirement - Matric
    • Diploma in Human Resources / Industrial Psychology or related

    Experience

    • Minimum 2 years’ experience including:

    HR Administration.

    • Oracle experience
    • MS Word and MS Excel
    • Experience in working with others.
    • Experience in a small to medium
    • organization.
    • Knowledge in Recruitment, Termination, HR administration, IR, Remuneration, legislation relevant to employees
