National Diploma or Degree in SCM/ Logistics/ Finance/ Public Admin coupled with at least 2 years working experience Secretary in the supply chain environment.
A valid driver’s license is a prerequisite. Registration with relevant professional body will be advantageous.
Key Responsibilities:
Reporting to the Supply Chain Manager, the incumbent will be responsible for: Prepare and ensure timely appointment of committee members and appointment letter given to members and acceptance done timely Prepare agendas, meeting packs and invitations for all Bid Committees Attend all committee meetings and record accurate minutes Ensure proper capturing of resolutions, recommendations and attendance registers
Ensure accurate and timely execution of resolution Support committees in applying consistent procurement governance standards Provide overall support for SCM tendering process in relation to bid committees and adherence to regulations Conduct compliance checks on bid documents before submission to committees
Ensure committees operate in accordance with PFMA/MFMA, PPPFA, Treasury Regulations and SCM policies Maintain complete and accurate audit trails and records Ensure confidentiality and compliance with the Code of Conduct for SCM practitioners Ensure accurate and timely weekly, monthly and quarterly reporting
Maintain and ensure integrity & confidentiality of the SCM information in line with all relevant acts and SCM regulations and internal policies Maintain filing systems for bid documents (digital & physical) Ensure all registers (attendance, declaration of interest, decisions, etc.) are up to date Archive committee records in line with records management policies Support the SCM during audits for required bid information
Coordinate with internal users, SCM officials and committee members for smooth committee operations Support evaluation teams in scheduling sessions and ensuring timelines are met Communicate resolutions and follow-up actions to relevant officials Ensure compliance with all LNW’s policies, procedures and code of ethics.
