KEY RESPONSIBILITIES:
Executive Team support functions:
Provide a high level of personal, administrative, and secretarial support to the Executive Team.
Manage interface with clients, banks and all key stakeholders.
Manage the electronic diaries of the Executive Team.
Co-ordinate Board, management and stakeholder meetings / functions including the preparation of all documents, presentations and information packs.
Administration functions:
General office administration duties including preparation of reports and presentations, proof reading, data capturing and data verification.
Coordination of travel and accommodation requirements.
Diarise and co-ordinate Tech talks, staff meetings, management meetings, etc.
Relationship manager for central service providers e.g. MTN, CESA, ECSA, Europcar, Corporate Traveler, etc.
Maintain master documents and templates
Financial support functions:
Provide financial administrative support including the preparation and submission of invoices for payment approval, bank letters, resolutions, etc.
Collating and reconciling monthly credit cards, expense claims and/or forex usage.
Tendering support functions:
Manage the interface with Africa House, Leads2Business and circulate relevant information
Co-ordinate the maintenance of CVs in long and short formats.
Maintain key supporting documentation for tenders such as Tax Clearance Certificates and other company specific information. (sourced from internal departments)
Maintain and file certified legal documentation and resolutions.
Co-ordinate the maintenance of databases of: Academic and Professional Certificates, Shareholders ID documents, Client reference letters, Letters of Appointment, tender methodologies, etc.
Assist with compilation and submission of National and International Tenders.
KEY REQUIREMENTS:
A Matric certificate and Secretarial / Office Administration qualification;
A minimum of ten years relevant work experience within a corporate environment;
Experience and exposure to Board meetings/minute taking;
Extensive knowledge and proficiency in the use of Microsoft office programs (Outlook, Excel, Word, and PowerPoint;)
Excellent verbal and written communication skills;
Good interpersonal skills;
Strong organisational skills and the ability to take initiative;
Must be highly capable of multi-tasking and managing a diverse range of tasks under time constraints and be highly adaptive to changing needs;
Professionalism, trustworthy and ability to handle and manage sensitive and confidential information.
