    Executive Personal Assistant

    Minimum Required Qualifications:

    • Grade 12 or similar level of education.
    • Diploma or Certificate in Office Administration or Secretarial.
    • Minimum 5 years’ experience in Executive Secretarial work
    • Experience to include reporting to senior management and/or Executive level.

    Skills, Knowledge and Abilities:

    • Working proficiency of full Microsoft suite, including Teams, One Note, MS Word, Excel, Outlook & PowerPoint.
    • Positive, can-do attitude.
    • Ability to multi-task and meet deadlines.
    • Own reliable vehicle is compulsory

    Key Accountabilities:

    • Manage executive's calendar and independently schedule appointments.
    • Manage correspondence, including composing and typing letters, emails, and reports.
    • Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings.
    • Direct preparation of records such as agenda, notices, minutes and resolutions for corporate meetings i.e. quarterly board meeting.
    • Handling confidential and sensitive information and maintaining strict discretion.
    • Acting as a liaison between the executive and internal/external clients, stakeholders and partners.
    • Extensive experience at top level, together with an in-depth knowledge of the organisation.
    • Screen incoming calls and correspondence and responds independently when possible.
    • Organizing and maintaining files, databases, and reference materials.
    • Performing research and making recommendations on behalf of the executive.
    • Assisting with budget preparation and expense tracking.
    • Providing general administrative support, such as making copies, organizing paperwork & maintaining office supplies.
    • Keeps official corporation records and executes administrative policies determined by or in conjunction with other officials.
    • Assistance with the organisation of internal meetings, eats for internal meetings etc (in conjunction with office manager).
    • Assistance with personal admin- booking/scheduling appointments, purchasing of gifts, travel bookings, home management.
