Oversee end-to-end HR administration processes, including monthly and quarterly audits to verify employee data accuracy, document completeness and compliance with company record-keeping standards.
Support with consolidation of HR reports for internal stakeholders, ensuring accuracy, consistency and timely submission of information.
Coordinate HR-related meetings and forums by reviewing agendas, supporting documentation and minutes, confirming logistical arrangements and ensuring alignment with governance requirements.
Maintain oversight of employee records management by ensuring systematic filing of all HR documentation both physically and electronically, supporting data integrity, confidentiality and compliance with record retention requirements.
Administer employment documentation including appointment letters, promotions and salary adjustments, ensuring records are accurate, properly authorised and securely stored in accordance with company processes.
Support recruitment administration by coordinating interview scheduling, assessments, medical and pre-employment checks, while maintaining the vacancy tracker to ensure recruitment activities are accurately captured and monitored.
Coordinate onboarding and offboarding processes, capturing employee information on Sage HR, verifying payroll-related submissions and ensuring all required documentation is complete and compliant.
Administer leave reconciliations by reviewing leave records against policy provisions and internal guidelines and escalating any discrepancies or potential risks.
Support payroll administration processes by reviewing payroll submissions for accuracy, resolving discrepancies and ensuring complete and compliant submissions.
Support compliance and audit activities by maintaining up-to-date HR records and assisting with preparation of documentation required for internal audits, labour compliance and governance reporting.
Support ad hoc HR tasks and projects to meet the expected quality and compliance standards.
Support stakeholder engagement by ensuring consistent and professional HR service delivery, coordinating responses to queries and escalating complex matters to the HR Business Partner where required.
Comply with policies by maintaining up-to-date knowledge, attending training, and resolving queries daily and as required.
Comply with processes by staying informed on procedures, applying them correctly, and addressing concerns daily
Requirements
Matric / Grade 12 or equivalent
B Tech or BCom in HR / Behavioural Sciences Management / Organisational Psychology or similar
Driver’s license
3+ years’ HR Administration experience
3+ HR generalist experience
Post Graduate Diploma in Business management or related will be advantageous
