Consolidate monthly, quarterly, and annual reports.
Vet queries and complaints directed to the office of the Senior Director and direct them to the relevant sections.
Proofread all submissions going out of the department, such as to governance structures of the university for example the University Management Committee, Rectorate, etc.
Coordinate travel and accommodation arrangements for the Senior Director and his deputies.
Stand in as a Finance Administrator when needed, performing all associated tasks, including procuring goods and services.
Generate task lists for reporting lines from meetings and follow up on tasks to be performed.
Coordinate committee meetings, preparing and circulating agendas and other support documents needed for the meetings.
Render secretarial services during meetings chaired by the Senior Director, such as taking minutes and ensuring timely circulation to members, following up with members on feedback for future meetings.
Coordinate logistics for planned meetings, including venues and required support infrastructure.
Supervise cleaners, Front Desk, and interns.
Ensure the availability of training plans for the department.
Liaise with the Training and Development section of HR on behalf of the department.
Communicate available training to staff in the department timeously.
Keep updated records of all training attended by members of the department.
Inherent requirements:
Bachelor’s degree or an advanced diploma/BTech degree/postgraduate certificate on NQF Level 7 in Office Management/Office Administration/Public Management/Public Administration.
Minimum of two (2) years’ relevant working experience relating to the duties and responsibilities.
Recommendations:
A valid South African driver’s license (attach a copy).
Exposure to a safety and security environment.
Experience within the higher-education environment.
Knowledge of university systems, policies, and procedures.
Post Graduate Diploma or Honours on NQF Level 8 in any of the inherent requirement qualifications.
