    Office Manager (Post Level 11) Job ID: 6021

    Duties and responsibilities:

    • Manage the diary.
    • Consolidate monthly, quarterly, and annual reports.
    • Vet queries and complaints directed to the office of the Senior Director and direct them to the relevant sections.
    • Proofread all submissions going out of the department, such as to governance structures of the university for example the University Management Committee, Rectorate, etc.
    • Coordinate travel and accommodation arrangements for the Senior Director and his deputies.
    • Stand in as a Finance Administrator when needed, performing all associated tasks, including procuring goods and services.
    • Generate task lists for reporting lines from meetings and follow up on tasks to be performed.
    • Coordinate committee meetings, preparing and circulating agendas and other support documents needed for the meetings.
    • Render secretarial services during meetings chaired by the Senior Director, such as taking minutes and ensuring timely circulation to members, following up with members on feedback for future meetings.
    • Coordinate logistics for planned meetings, including venues and required support infrastructure.
    • Supervise cleaners, Front Desk, and interns.
    • Ensure the availability of training plans for the department.
    • Liaise with the Training and Development section of HR on behalf of the department.
    • Communicate available training to staff in the department timeously.
    • Keep updated records of all training attended by members of the department.

    Inherent requirements:

    • Bachelor’s degree or an advanced diploma/BTech degree/postgraduate certificate on NQF Level 7 in Office Management/Office Administration/Public Management/Public Administration. 
    • Minimum of two (2) years’ relevant working experience relating to the duties and responsibilities.

    Recommendations:

    • A valid South African driver’s license (attach a copy).
    • Exposure to a safety and security environment.
    • Experience within the higher-education environment.
    • Knowledge of university systems, policies, and procedures.
    • Post Graduate Diploma or Honours on NQF Level 8 in any of the inherent requirement qualifications.
    • Advanced computer literacy.
