    Operations Manager - Chemical Logistics (Isando)

    Role: 

    The Operation Manager’s main functions are to co-ordinate and control the operations of the logistics functions to attain maximum operational efficiency while complying with all legal and company SHEQ standards. Effective management of safety and housekeeping, repack station, stock, labour and costs are key drivers in achieving this target. Over and above this, the practice of on-time delivery is essential to ensure total customer satisfaction

    Responsibilities:
    Employee Relations (Human Resources)

    • Identify and propose formal training needs for personnel
    • Overall supervision of all employees working off the Warehouse
    • Monitors the expiry dates of training and schedules re-training as and when it becomes due
    • Is responsible for on-the-job training of new and existing employees
    • Manage an attendance register that monitors and records leave taken by employees as well as to ensure that adequate personnel are present at work at all times
    • Is responsible for the safe working of all employees and ensures that all employees practice safe working standards by wearing the relevant personal protective equipment and following all safety procedures
    • Take the necessary corrective action to handle troublesome employees or employees who have committed an offence
    • Monitors overall performance for each employee
    • Submits overtime hours worked for all employees to the company accountant on a monthly basis and to the Managing Director on a weekly basis

    Stock Control

    • Manages the activities of the stock controller as well as the receiving/picking clerks
    • Does random audits on the activities of the stock controller and the receiving/picking clerk to ensure compliance
    • Is accountable for all stock or equipment discrepancies
    • Co-ordinates annual stock takes together with the stock controller
    • Assists the stock controller in ensuring that the optimal stock levels are maintained to satisfy customer demands
    • Is expected to maintain a stock accuracy in value and units of >99%

    Distribution

    • Ensures that all deliveries of finished products are carried out according to the legal and company requirements with regards to safety and quality
    • Ensures that all finished products are delivered in accordance with customer’s time limits and requirements. The customer or rep must be informed in time if the schedule cannot be met
    • Assists in achieving a +- 95% delivery service levels
    • Prints out outstanding orders report off Navision twice per day to check on back orders
    • Ensures that the dispatch clerks identify the due dates of orders and prepares the orders a day prior to delivery by: Printing the delivery notes, Preparing the pick list and handing over to the Stock Controller, Attaching COA’s to the delivery notes, ensuring that all ChemTRACS are packed the day before delivery, Arranging the preloading of trucks, Informing drivers of the starting times and routes for the next day
    • Request stock from other sites should there be any stock outs
    • Informing all parties of any stock-outs that could probably delay a delivery
    • Assists in processing sales return orders where necessary
    • Checks that the servicing of vehicles, cranes, tail lifts, fork-lifts and other equipment are done as and when they become due
    • Ensures that trucks are always in a kept clean and safe
    • Monitors driver performances e.g. speeding
    • Ensures that vehicles and fork-lifts are checked on a daily basis by requesting checklists from drivers
    • Checks that the dispatch clerks collect trip sheets from drivers on a daily basis, signs off and files.

    Repack Station

    • Identifies products to be repacked by checking the back-order list and consulting with the stock controller
    • Prepares the release production orders for repacking and hands these over to the to the Repackers
    • Checks the stock levels in the storage tanks and re-orders when required
    • Checks that there’s sufficient empty containers available and re-orders when necessary
    • Constant supervision of the repack station to ensure the Repackers are compliant to all safety and quality requirements
    • Conducts spot audits 4 times per day on the repack station

    Safety, Health, Environment and Quality

    • Ensures that employees activities and tasks performed are in line with legal and company’s SHEQ standards
    • Does regular checks and inspections (as per required frequency) on all personal protective equipment (PPE) and equipment e.g. fork-lifts and racks
    • Conducts weekly audits on personnel, warehouse, racking, and vehicles. checklists and equipment to ensure compliance to SHEQ requirements
    • Reports and documents all near misses, SHEQ incidents etc.
    • Ensures that all check lists are completed and submitted on time from subordinates
    • Ensures that all finished products are safely stored in visibly clean and standard packaging and according to their compatibilities
    • Checks that no labels, pallets or packaging is damaged
    • Ensures that all product handling is carried out in accordance with legal and company requirements
    • Ensures that all activities and work carried out in the warehouse and at customer sites are done safely and in accordance with required procedures

    Reporting and Admin

    • Submits a monthly report within 4 working days after month end to the Managing Director. The report should contain aspects surrounding distribution, personnel, stock control etc.
    • Ensures that all safety documentations are up to date and readily available
    • Creates employee, equipment and vehicle files
    • Maintains records of all training done
    • Assists in writing up procedures for the warehouse
    • Arranges meetings with suppliers, customers and employees when necessary
    • Is required to manage petty cash using the imprest system. Does monthly reconciliations and submits to Managing Director
    • Manages and controls the use and security of company assets

     Minimum requirements

    • Matric / Grade 12
    • Have an in-depth knowledge of warehousing and distribution systems
    • Possess some formal qualifications in Warehouse management
    • Have being trained in employment relations
    • Be familiar with ISO requirements and audit systems
    • Have a minimum of 5 years’ experience
    • Must be able to work in a unionized environment
    • Be able to operate a computer using various business programs
    • Possess strong leadership qualities
    • Be fluent in speaking and writing English
