    Operations Project Manager - Remote

    Purpose and Goal

    • The goal of the Operations Project Manager is to lead the successful setup of Groups and U18s programs, adhering to GVI’s specifications and ensuring cost optimisations. The role also involves close collaboration across teams and managing additional ad hoc responsibilities as required. 

    Role and responsibilities

    • Groups and Operations Project Management
    • Oversee end-to-end project management for Groups and U18s programs, from contract to delivery, ensuring quality and cost targets are met.
    • Manage all operational logistics for multiple groups, balancing timelines and resources in a fast-paced environment.
    • Day-to-day communication with field staff/partners/suppliers for delivery.
    • Maintain up-to-date project timelines, Trello boards, reports, and trackers.
    • Execute ad hoc tasks as assigned by the Director of Group Operations or relevant Program Director.

    Itinerary Playbooks, Partners and Agreements

    • Develop and update location playbooks outlining delivery processes for each itinerary to ensure consistency.
    • Ensure all commercial agreements with partners and suppliers are current with optimised payment terms and cancellation policies.
    • Regularly review itineraries, explore new partnerships, and use feedback from participants, chaperones, and staff to improve groups programs.

    Health and Safety Documentation

    • Ensure health and safety protocols at GVI locations are upheld for all itineraries to ensure the safety of participants, chaperones and GVI staff.
    • Complete health and safety audits, risk assessments, and emergency action plans for all locations.
    • Review incident reports and support the Group Operations Director in identifying areas for safety improvements.

    Financial and Impact Management

    • Develop and manage budgets for Groups and U18s programs, keeping financial forecasts up to date.
    • Optimise cost structures without compromising program quality.
    • Review, submit, and monitor payments to ensure budget compliance.
    • Design impactful project work aligned with GVI’s ethical framework.
    • Collaborate with the Impact team to ensure accurate impact reporting for group programs.

    Marketing, Sales and Support Collaboration

    • Collaborate with the Business Development team to clearly define and communicate requirements for each group.
    • Maintain accurate, up-to-date hub sheets for groups and U18s programs for marketing, sales, and support teams.
    • Ensure close alignment with support teams for successful delivery.
    • Provide input or collaborate with the Head of Partnerships for setting up new group programs.
    • Actively seek feedback to continuously improve groups programs.

    What We're Looking For

    • Project management experience
    • Field Experience 
    • Proven track record of managing projects, operations and logistics.
    • Flexibility and ability to handle ad hoc tasks and quickly adapt to changing priorities
    • Strong communication skills, both written and verbal.
    • Demonstrated ability to build strong relationships with internal teams and external partners
    • Experience managing budgets and optimizing costs without compromising quality
