    Payroll and Benefits Officer

    An opportunity is available in the People Support Department for a Payroll and Benefits Officer. The overall responsibilities of the successful incumbent will be to ensure that a professional and efficient payroll service delivery is offered to the employees and the business, to process the monthly payroll accurately and timeously and to effectively manage the benefits administration and queries.

    Key Performance Areas 

    Payroll Processing:

    • Plans and processes the company hourly paid payroll by the 23rd of each month
    • Assist with Payroll preparation of salaried employees when required
    • Administers payroll and leave systems accurately and timely
    • Processes all additional pay related allowances (i.e. standby allowance, shift allowance, etc.) to ensure that all payments are processed
    • Load new employees’ financial info, updates team changes and terminates employees on SAGE 300 People system
    • Approves claims and changes of banking details on SAGE 300 People system
    • Engages with Contact Centre Operations Managers on payroll related information such as payroll hours sign off or incentive related information to ensure information is accurate
    • Ensures that all payroll processes are compliant and adhered to as prescribed by the business

     Payroll Administration:

    • Checks all contractual entitlements and payment methods for proper authorisation and for consistency with the Company’s payment policies and statutory regulations
    • Updates and maintains payroll records
    • Prepares all employee personal files and files all employee documentation accurately
    • Liaises with staff and management on payroll and employee benefit related queries
    • Assists with the reconciliation of PAYE, UIF, SDL, GL accounts
    • Processes personal changes approvals on ESS including banking details
    • Confirms all employment confirmations with external companies or providers
    • Allocates company parking bays to employees as per the Parking Policy and communicates parking bay eligibility monthly to employees
    • Assists with preparing monthly absenteeism stats for support and contact centre reporting

    Benefits Administration

    • Assists with administration & manages the billing of employee benefits in accordance with Committee decisions, Fund rules and Capfin Remuneration Policy
    • Assists employees with all Medical Aid, Medical Insurance and Gap Cover Queries and applications, submits it to the Service Provider & processes deductions on the payroll
    • Inform benefits service providers (e.g. Medical Aid/Medical Insurance/Gap Cover/Extended Funeral) when employees terminate at pre-determined due dates
    • Provides a medical aid and gap cover report to Payroll and Reward Manager, confirming new employee applications or beneficiary’s monthly by the 7th of each month
    • Checks all benefit change forms (Medical Insurance/Extended funeral beneficiaries) are reconciled correctly in payroll and reports any discrepancies to the Payroll & Reward Manager and People Support Services Manager
    • Processes AF withdrawal forms upon termination online to ensure benefits are processed and follows up on outstanding withdrawal forms by the 7th of each month
    • Updates and maintains record of un-submitted withdrawal forms from ex-employees and ensures that forms are sent to employees to process outstanding provident fund monies to Alexander Forbes.

    REQUIREMENTS

    Qualification:

    • Relevant tertiary qualification - Payroll / HR Degree/ Diploma

    Experience:

    • Approximately 3 years’ relevant working experience on a Payroll system (preferably SAGE 300 People)
    • Experience processing hourly and salaried payroll 

    Functional Competencies: 

    • Software: Microsoft Office, EasyFile, E-filing, Online Banking and SAGE 300 People Systems
    • Intermediate Level experience in Microsoft Excel
    • Knowledge and experience in Payroll and HR Systems (SAGE 300 People)
    • Knowledge and experience of PAYE and statutory compliance and understanding of employee benefits
    • Knowledge and experience of payroll reconciliation processes
    • Knowledge of Labour Legislation, specifically Skills Development, Employment Equity and BCEA, and Tax regulations as it relates to remuneration practices
