    Personal Assistant

    Job Description

    • We are seeking an exceptionally organised and proactive Exec Personal Assistant to join our Johannesburg office.
    • In this Contract position, you will provide comprehensive administrative and secretarial support to senior executives, ensuring their offices run smoothly and efficiently.
    • You will be the cornerstone of executive operations, managing diaries, coordinating events, and handling sensitive communications with professionalism and discretion.

    • Manage executive diaries and schedules with meticulous attention to detail, proactively scheduling appointments and liaising with executives regarding prioritisation of commitments
    • Coordinate end-to-end organisation of meetings and events, ensuring all attendees are confirmed, logistics are arranged, documentation is prepared, and issues are resolved independently
    • Provide comprehensive travel management support, including booking arrangements, itinerary planning, and expense monitoring
    • Prepare, compile, and distribute meeting packs, presentations, agendas, briefings, and reports within required deadlines and approval processes
    • Act as the first point of contact for staff, clients, and stakeholders, responding to enquiries and following up on issue resolution
    • Support governance processes and maintain compliance-related registers and documentation
    • Assist with procurement activities and monitor operational expenses
    • Oversee induction and off-boarding processes for team members, ensuring smooth transitions
    • Draft correspondence, meeting agendas, and other business documents as requested
    • Maintain confidentiality and exercise discretion when handling sensitive information and communications
    • Provide proactive administrative support to multiple executives, anticipating needs and offering solutions
    • Utilise advanced Microsoft Office Suite proficiency to create professional documents and presentations

    Qualifications

    Required Skills and Competencies:

    • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Exceptional organisational and time management abilities
    • Outstanding written and verbal communication skills
    • Strong interpersonal and people skills
    • Proficiency in diary and schedule management systems
    • Ability to manage multiple priorities simultaneously and work independently
    • Excellent attention to detail and analytical capability
    • Problem-solving skills with a proactive approach
    • Discretion and ability to handle confidential information
    • Customer-focused mindset with a collaborative approach

    Required Experience:

    • Minimum 5-7 years of significant experience as a Personal Assistant or in a similar executive support role
    • Proven experience supporting multiple executives and senior managers
    • Demonstrated track record in providing comprehensive administrative and secretarial support
    • 5 to 10 years Experience coordinating meetings, events, and travel arrangements (Domestic & International)
    • Experience with governance processes and compliance requirements
    • Experience with staff induction and off-boarding procedures
    • Knowledge of South African business practices ,corporate environment & Exposure in Supporting Africa Regions 

    Required Education and Qualifications:

    • Matric or equivalent qualification
    • Diploma or Degree in Administration or related field

    Desirable Skills:

    • Experience with project management tools and systems
    • Knowledge of procurement processes
    • Familiarity with board-level support functions
    • Additional administrative or business qualifications
