    Policy Adminstrator - Marine

    Job Purpose

    • This position involves the processing and issuing of the policy documentation.

    • The Policy Administrator is responsible for ensuring that the administration process in respect of new business, renewals and mid-term amendments is handled professionally, accurately and swiftly in order to uphold our high standard of service levels to our clients. The Policy Administrator reports to the Technical Manager and is responsible for providing effective management and processing of the above procedures. The successful execution of the incumbent’s duty will ensure that our high standards and service levels are maintained at all times.

    Key Objectives of the Job

    Business Development:

    • Support proposal and tendering for client executives where required

    • Perform administrative functions where required

    Policy Administration Management:

    • Provide the admin process in respect of policy administration handled timeously to ensure deadlines are maintained and service levels upheld. This will include inter alia the following responsibilities;

    • Capturing and/or maintaining client and policy data in the Marine database to enable budget, claims and invoicing to be processed

    • Checking of broking and other correspondence to ensure that the client’s requirements are being met

    • Preparation of policy documentation for submission to Insurers/issuance of policy documents in accordance with Insurer binder agreements.

    • To issue documentation which is accurate in terms of client’s requirements for various facilities and using a variety of wordings suited to the client’s business type.

    • Providing closings to Insurers of agreed terms and conditions

    • Providing Sasria information and calculation to Insurers as well as accounts to enable invoicing

    • Preparation of confirmation of cover letters for various clients

    • Policy comparisons – new business and existing clients

    General administration and queries in respect of policy matters:

    • Document management

    • Preparation of insurance confirmations for cargo owners and banks

    • Preparation of policy summaries/cover notes for cargo owners

    • Renewal monitoring/reminders

    • Maintaining a good relationship with Insurers

    • Application of technical knowledge to ensure the policy is issued correctly.

    • Management of diary system to follow up with either Client Executive or Insurers on queries or outstanding documentation

    • General administrative functions including monthly reports

    • Verification of banking details for claims payments

    Compliance Management:

    • Comply with all statutory and company regulations to protect clients and business interests

    • Ensure that disclosure and business documents adhere to the requirements of the FSCA and the business

    Required technical knowledge and skills:

    The incumbent must have proficient knowledge in the following areas:

    • Knowledge of Short Term Insurance, Marine /GIT field of insurance

    • Knowledge of the FAIS Act and other legislation/Acts that govern the short term insurance industry

    • Proficient in MS Office applications, with particular emphasis on MS Word

    • Ability to maintain a high level of accuracy

    • Strong numeric ability

    • Ability to analyse and interpret broking information and apply to the policy requirements

    Essential qualifications:
     

    • Matric

    • FAIS regulatory exams (RE1 for reps)

    Preferred qualifications:
     

    • Preference will be given to candidates that have a recognised INSETA qualification in the short term insurance industry

    Required job related experience:
     

    • Minimum 3-5 years’ experience in a short term insurance, preferably in the Marine/Goods In Transit environment
