    Procurement Administrator

    Duties & ResponsibilitiesA rationalized, compliant and formally contracted supply base

    • Supplier vetting and adoptions are processed according to Group Procurement policies and processes Customer Service
    • Customer response turnaround times for various processes are met and exceeded where possible – email and telephonic Administrative and other Support to the Procurement/Category Managers to maximize Group Procurement productivity
    • Obtain quotes, do comparisons and provide Procurement/Category Managers with relevant proposals
    • Source supporting documentation for supplier agreement preparation
    • Obtain supporting documentation for credit applications, new accounts etc
    • Assist with tender administration
    • Respond timeously and efficiently to all reasonable requests by Managers
    • All documentation updated and filed as per requirement Maintain current supply base – continuous improvement which results in accurate payments, reporting etc
    • Update supplier details on the ERP system on a continuous basis by verifying contact details, updated compliance documentation etc Account queries resolution
    • Liaise with the creditors department and/or suppliers to ensure account queries are attended to efficiently and timeously Compliance to all policies and processes
    • Efficient and compliant procurement practice Compliance to all policies and processes
    • Efficient and compliant procurement practice Systems maintenance
    • Manage general workflow process via e-Helpdesk System
    • Maintain and update supplier details on e-procurement and ERP systems as instructed and as per process
    • Buyer Category Data Management
    • Map supplier catalogues on MyMarket
    • Attend to internal queries relating to system integrity
    • Fulfil and action reasonable requests by management within position’s scope
    • Ensure that all statutory procurement policies and procedures are being strictly adhered to, while working towards improving systems and processes

    Skills and Competencies

    • Computer literate (MS Office - strong Excel & Word)
    • Strong analytical and numerical skills to collect and interpret data
    • Excellent organisation and communication skills
    • Basic procurement and supply chain process knowledge
    • MyMarket, Menutec & AX experience - advantageous
    • Strong numeracy skills
    • Basic negotiation skills
    • Strong planning, organizing and time management skills
    • Ability to work independently as well as be a team player
    • Experience in a buyer/procurement management role
    • Ability to communicate at all levels with key suppliers and management

    Qualifications

    • Matric
    • Relevant tertiary qualification is advantageous
    • Previous experience in a similar role
    • Knowledge of procurement, strategic sourcing processes & supplier management
