National Senior Certificate. An NQF level 6 qualification in Office Admin/ Business Admin/ Secretarial Studies in Management Assistant / Public Administration / Tourism management will be an added advantage. No work experience required, however, exposure serving in the Public service office with relevant experience will be an added advantage.
Knowledge: Excellent language skills and the ability to communicate well with people at different levels and from different backgrounds. Good telephone etiquette. Computer literacy and being able to work with all Microsoft Applications and the related systems. Sound organisational skills. High level of reliability. Excellent written communication skills. Ability to act with tact and discretion. Good grooming and presentation. Remain up to date regarding prescripts/policies and procedures applicable to her/his work terrain. Remain abreast with the procedures and processes that apply in the office.
DUTIES :
Provide a secretarial support service to the office: Receive, screen and forward incoming calls to correct person while taking accurate messages. Welcome visitors, determine their needs and direct them to the appropriate staff members. Type documents for the staff within the office. Operate office equipment like fax machines and photocopiers. Assist with friends of Museum Subscriptions and Group Bookings. Provide a clerical support service to the office: Liaise with travel agencies to make travel arrangements for the staff of the office. Arrange meetings and events for the office. Process the travel and subsistence claims of the staff of the office. Draft routine correspondence and reports. Handle the procurement of standard items like stationery, refreshments etc.
