    Receptionist / Office Administrator

    Receptionist/Office Administrator

    • We are recruiting for an administrative professional to join a fast-paced environment in Pretoria East. The ideal candidate will be comfortable with high-volume tasks and easily adaptable to changing environments.

    Minimum Requirements:

    • Minimum of one year experience in a similar role.
    • Strong computer literacy.
    • Valid Driver’s License and their own vehicle.

    Duties and Responsibilities:

    • Greeting and welcoming visitors whilst creating a positive first impression by greeting and welcoming guests, clients, and employees as they arrive at the office or enter the reception area. This includes providing directions, answering questions, and ensuring their needs are met.
    • Managing incoming phone calls, routing them to the appropriate individuals or departments within the organisation.
    • Take messages, provide basic information, and assist with phone-related inquiries.
    • Manage appointment schedules for clients, employees, and executives by using scheduling tools to coordinate meetings, book conference rooms, and ensure that appointments are efficiently managed.
    • Handling correspondence of incoming and outgoing mail, email, and faxes.
    • Distribute correspondence to the appropriate recipients within the organisation and ensure that messages are relayed in a timely manner.
    • Maintaining the reception area by keeping it tidy and organised, ensuring that it presents a professional and welcoming environment. This includes arranging seating, tidying up, and ensuring that necessary supplies are stocked.
    • Providing administrative support to other departments or individuals within the organisation.
    • Complete tasks such as data entry, filing, photocopying, and assisting with various administrative projects such as the preparation of affidavits.
    • Managing visitor access to the office.
    • Responsible for running errands as required by operations and management.
    • Assisting with the preparations of company events such as birthdays, awards functions, team building and corporate responsibility.
    • Making the bookings for all travel and accommodation arrangements for clients and employees.
    • Collecting all deliveries made and managing all requested returns.
    • Assisting with basic inquiries from clients, employees, and visitors, such as providing information about the company, its products or services, and its policies.
    • Direct individuals to the appropriate resources or personnel for further assistance.
    • Maintaining records and databases including contact lists, directories, and visitor logs.
    • Ensure that company and operational information is accurate, organised, and easily accessible when needed.
    • Coordinating office services such as arranging for maintenance and repairs, ordering office supplies, and liaising with external vendors or service providers.
