    Lease Administrator - Pretoria

    POSITION PURPOSE

    Responsible for lease administration as assigned. Keeps tenant records, deposit and lease fees accounts accurate and current. Completes related reports, summaries, and records, and performs related clerical duties.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    Assumes responsibility for the accurate and timely completion of assigned leasing administration functions, including:

    • Terminates tenant accounts on instruction and notifies departments
    • Captures journal entries:
      • Lease Fees & Deposits & appropriation of deposits
    • Advises meter readers of changes
    • Arrange invoices for tenants paying deposits/rental in advance
    • Upload all relevant documents to BOL & send original lease for archiving
    • Electricity & Water Adjustments – Notifies Utility Company, advises meter readers of tenant movements, Electricity & Water adjustments
    • Send tenant copies of signed lease & offer
    • Credit rating procedure

    Assumes responsibility for the accurate and timely completion of assigned lease administration functions, including:

    • Drafts and prepares leases
    • Keep register of all lease movements
    • Captures and Processes lease agreements via owner’s approval form
    • Cedes leases
    • Prepares, cancels and amends Lease agreements, Addenda and Suretyships
    • Handles & checks deposits, bank guarantees & maintaining replacement bank guarantees & additional deposits, updating all reports accordingly
    • Reconciliation of deposit account
      • Adhering to assigned deadlines & timelines as required
    • Ensuring all processes in terms of lease tracking are adhered to

    Assumes responsibility for establishing and maintaining effective communication and coordination with Company personnel and with management

    • Maintains regular contact with other departments to obtain information and/or to correct transactions (Liaise with Property Administrator on tenant movement)
    • Assists Portfolio Management personnel as needed
    • Keeps management informed of area activities and of any significant problems
    • Attends and participates in management meetings & take minutes of such meetings

    Assumes responsibility for related duties as required or assigned

    • Completes special projects as assigned
    • Any other duties related to loading and processing of lease renewals & administration thereof
    • Update & maintain lease audits
    • Update & maintain building lease profiles
    • Upload monthly leasing reports for management packs
    • Prepare monthly executive summary for reporting to leasing manager

    PERFORMANCE MEASUREMENTS

    • Lease documents, records, and reports are accurate, current, and timeously submitted 
    • Good working relations exist with company personnel
    • Good communication and coordination exist with Leasing Manager - Provide Assistance as and when required
    • Management is appropriately informed of area activities
    • Lease administration is completed in accordance with established standards, policies, and procedures

    QUALIFICATIONS

    • Education/Certification: Matric
    • Good understanding of “Legal Leases”
    • Basic understanding of accounting practices

    Maintenance Supervisor (2-Year FTC)

    POSITION PURPOSE

    Provides assistance to ensure that all buildings, grounds, and equipment are well maintained and in optimal working condition. Implements departmental policies and procedures and ensures that all operations are in accordance with established health and safety regulations. Responsible for performing a variety of accounts payable duties. Prepares reports and maintains records and files as needed.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES
    Assumes responsibility for the effective assistance with the operations of Centre and facilities.

    • Coordinates and arranges third party services of maintenance contractors, suppliers, vendors, etc. Deals with contractors on daily basis.
    • Liaises with clients with regards to operational problems and responds to call outs..
    • Responds to emergency call outs after hours.
    • Day to day running and control of:
    • Plumbing
    • Electrical, Air-conditioning, Fire, Mechanical
    • Stortes and material
    • Conducts periodic inspections of facilities, assesses problems and needs, and implements improvements in operations as appropriate.
    • Coordinates maintenance activities. Undetakes basic repairs and installation work of any kind.
    • Ensures that facilities are clean, well maintained, and in good repair. Does preventive maintenance procedures as appropriate.
    • Ensures that buildingsoperations are in compliance with established procedures, policies, regulations and codes.
    • Setting up meetings with staff when necessary.
    • Asset Management: Control and implement regular preventative maintenance in line with budgets, motivate refurbishments, responsible for compliance with OSH Act.

    Assumes responsibility for the accurate and timely performance of accounts payable functions.

    • Reviews source documents and submits for payment
    • Ensures that approval for payment is in accordance with purchasing policies.
    • Performs duties in accordance with established Company policies and procedures.

    Assumes responsibility for establishing and maintaining effective business relations with vendors.

    • Researches and resolves vendor problems and billing discrepancies.
    • Answers vendors' questions or refers them appropriately.
    • Maintains and projects the Company’s professional reputation.
    • Assumes responsibility for ensuring professional business relations with vendors, contractors, and trade professionals, and the public.
    • Works to develop and maintain productive business relations with vendors, suppliers, contractors, etc.
    • Communicates with upset clients.
    • Obtains and conveys information as appropriate.
    • Maintains monthly management reports.
    • Proposes and implements corrective processes and actions where necessary.
    • Promotes goodwill and a positive image of the Company.

    Effectively assists personnel, ensuring optimal performance.

    • Attends regular meetings to ensure that personnel are well informed of changes in policies and procedures. Discusses areas needing improvement.

    EDUCATION/CERTIFICATION:

    • Matric.
    • NATIONAL DIPLOMA- ANY Technical qualification (Electrical, plumbing, mechanical)

    REQUIRED KNOWLEDGE:

    • Excellent understanding of facilities management procedures, PPM’s, Corrective maintenance, help desk process

    EXPERIENCE REQUIRED:

    • Five or more years of related experience, with at least two or more years of supervisory experience.

    Plumber (2-Year FTC)

    POSITION PURPOSE

    • To support the Broll technical services in performing day to day task as to required performance levels.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES 

    • Capture all job or work instruction detail to the Broll platform or on a Job card
    • Ensure all admin work are completed with all detail and as soon as the job or task is completed
    • Verify the job information with the supporting staff to ensure the correct information are required in order for the office support staff to complete the task and invoice.
    • Ensure that all sites are left clean and neat after the completion of any task.
    • Verify with the client on completion of the task that the client is satisfied and that the work was done to his or her satisfaction.
    • Report any unsafe conditions to your reporting line and follow up on the conclusion.
    • Over time or weekend work will be required as and when the working schedule so requires. You will be informed by your reporting lines when the work is required.
    • Ensure clients are informed of your commitment times and keep clients informed should you not be able to meet the agreed appointments. Also inform the office support staff of any reason for you not to make the appointment time, so that the client can be informed in time.
    • Always report any unsafe working conditions to your reporting line and never put yourself or any Broll property at risk.
    • Report any incidents or accidents to your reporting line and office support immediately. All injuries must be reported the same day and vehicle accidents within 24 hours with the police and to your reporting lines.
    • Report any injury on duty to your reporting line immediately and ensure the correct procedures are followed.
    • While performing your duties with the client, identify any unsafe conditions and inform the client of these risk.
    • Always ensure you perform your services as to the clients request and the approved quote. Should the client require any additional work that is outside of the quote, kindly inform the client that we can perform the additional work, but it will be with additional cost. Inform your reporting line and office support on the clients request so that the client can be informed of the additional cost.
    • Always conduct yourself in a professional manner. Be polite, and clear on who you are and what you will be doing. Never sit around the site doing nothing while other staff is working.
    • Always ensure you have the correct tool and that that are in a safe condition to use.
    • Do all tool checks on a regular basis and ensure the check reports are filed to support the safe operations of power tools and ladders.
    • Always wear the correct PPE and ensure your PPE are in a clean and good condition. Report any issues to your reporting line and office support.
    • Do not make yourself liable to theft of time, tools, money or any company property, these are dismissible offences. Be honest in your conduct.
    • Ensure all work instructions/Job cards are closed off on completion of the task and that you stick the ARM sticker on the site so the client have our contact detail
    • Make sure the client signs off the work and that they are satisfied, if not report the situation to your reporting line and make sure that feedback and follow ups are made to the client.

    CONDUCT

    • Must conduct himself in a professional manner
    • Never speak with the client unless approved by Broll PM.
    • Always work through the reporting lines

    PERFORMANCE MEASUREMENTS

    • The SLA with our client will be used as a measurement of performance as well as the feedback on assessments from management and reporting structures.

    EDUCATION/CERTIFICATION:

    • Grade 12,
    • Must have plumber trade test
    • Driver’s license

    EXPERIENCE REQUIRED:

    • Atleast 3 years of Plumbing experience

    Property Manager & Administrator

    POSITION PURPOSE

    Responsible for the management of the Property. Ensure investment growth and maximum income of Property through effective property management and asset control. Develops related budgets, oversees leasing contracts, procures services, handles third party service contracts, and directs maintenance procedures.     Retail Leasing Broker (12-Month Contract)

    Key Responsibilities:

    • Identifying and engaging with potential retail tenants, utilising market research and networking skills.
    • Negotiate lease terms and agreements that are in line with both the Landlord and the Tenant.
    • Monitoring pipelines and ensure timeous finalising of deals.
    • Preparing and managing Income Schedules and Tenant mix strategies.
    • Meet established quotas and revenue goals.
