    Receptionist / Switchboard Operator

    Full Job Description

    Oxford University Press is looking for a Receptionist/Switchboard Operator who will provide efficient and courteous service to callers, visitors and staff by dealing with queries and concerns in a way that presents a professional image for the organization.

    Principal accountabilities:

    Administrative support services provided to facilitate the productivity of the OUP Head Office

    • Manage documentation by supporting other departments with accurate filing, telephonic enquiries, travel arrangements and other clerical duties according to request without interfering with switchboard duties
    • Vendor forms, purchase orders and other documents issued for the administration department
    • Telephone lists maintained and up to date
    • Confidentiality maintained

    A professional service and image for OUP provided to callers, visitors and staff

    • Manage security and neatness of reception
    • No unauthorized visitors to gain access to the premises past reception
    • All visitors signed in and issued with a visitors tag
    • Reception kept clear of parcels, items and groups of people
    • Calls answered timeously
    • Calls directed efficiently and accurately
    • Inter-branch mail controlled and tracked via courier service
    • Incoming mail processed and distributed

    Qualifications and Experience:

    • National Senior Certificate
    • Certificate in reception and telephone skills – added administration certificate (advantageous)
    • Experience in reception or call centre
    • Basic computer literacy
    • SAP knowledge
    • Good time management
    • Attention to detail
    • Pro-activeness
    • Telephone etiquette
