    Chief Operating Officer

    Purpose Statement

    • To provide strategic leadership  in the design, resourcing, management, execution and monitoring of the Operations strategy in line with the SABS’s mandate and overall approved strategy, to ensure the execution of key deliverables to support the organisation in its execution functions, while promoting good governance and sound financial and business principles in support of the operating model.    

    Minimum Requirements    
    Qualifications

    • Master’s degree in commerce, Business Management, Management Science, Engineering or a related field (NQF Level 9)  

    Work Experiance 

    • 15 years relevant work experience in business management or a relevant technical environment 
    • 5 years senior management experience 
    • 3 years executive experience 
    • Proven track record in leading and managing operations at an organisational level
    • Proven track record in managing multiple divisions simultaneously at a corporate level
    • Proven track record in managing multiple organisational revenue streams, diverse work teams, customer engagement models and business value chain development

    Strategic Leadership

    • Lead the development, management and execution of the SABS Operations (Certification Services, Laboratory Services, Standards, Customer Partnering and Programme Management Office) strategies and provide input into the overall strategy, policy and decision-making direction of the organisation to reduce costs, generate revenue and implement continuous improvement
    • Ensure the alignment of Certification Services, Laboratory Services, Standards, Customer Partnering and Programme Management Office strategies with the requirements of all sub-divisions, through the development and execution of strategic work plans.
    • Collaborate with the CEO to direct corporate strategy and operational growth of the organisation in order to drive performance, improve profitability and the quality of service offerings in the designated area of responsibility.

    Operational Management

    • Oversee the execution of strategic national and international sales and business development pipeline strategies that will integrate and leverage growth opportunities.
    • Develop and execute the operations integrated operational plans to meet capacity and requirements in line with the overall strategic plans and deliverables.
    • Convert divisional operational plans into business activities and objectives to attain growth targets.
    • Continuously assess areas for internal improvement and develop plans for implementation and identify productivity benchmarks and development tools to measure efficiencies in the division.

    Stakeholder Management

    • Identify and mitigate internal systems and procedural barriers to enhance excellent customer service.
    • Build and maintain effective internal and external stakeholder relationships for the purpose of expectations management, knowledge sharing and integration, and to manage the organisation’s reputation.
    • Represent and participate in the organisation’s committees and tasks teams as required.
    • Convene, chair and attend meetings and present performance and business related information to relevant stakeholders as required (e.g., parliament, national and/or international forums, etc.)
    • Provide technical support and advocacy on Operations related matters to the organisation.Actively liaise and build relationships with SABS clients and service providers to ensure that the service standards are achieved.

    Operator: Laboratory Services

    Purpose Statement

    • To ensure that the day to day operations of the laboratory is optimized so as to ensure effective and efficient service delivery to clients.

    Minimum Requirements    
    Qualifications

    • Diploma in a relevant scientific related field
    • (NQF Level 5)
    • Valid Driver’s Licence is essential

    Experience

    • 1-2 Years work experience within the relevant scientific environment

    Duties and Responsibilities    
    Functional Management

    • Prepare samples for analyses as per standard operating procedures.
    • Ensure that all samples are packed according to their tested stages.
    • Ensure that samples are classified according to their Laboratory protocols.
    • Accurately track samples to ensure that all samples are accounted for.
    • Conduct sampling analysis at sampling points or as instructed (cluster dependent) and basic routine testing as required.
    • Collect and transport samples from required sites as per standard operating procedures. (cluster dependent)
    • Comply with health, safety, security and administration regulations that apply to sampling sites. (cluster dependent)
    • Receive, register and prepare test samples in the laboratory or onsite as per standard operating procedures and accreditation requirements.
    • Where applicable record and monitor environmental testing conditions and escalate any deviations to relevant stakeholders.
    • Develop a preventative maintenance and calibration plan and schedule as required in collaboration with the Test Officer.
    • Carry out preventative and routine maintenance and/or calibration of laboratory equipment in area of responsibility.
    • Report faulty equipment and breakdowns to the relevant stakeholders.
    • Apply the appropriate maintenance and basic trouble shooting required for laboratory equipment maintenance and functioning.

    Risk and Compliance Management

    • Assist in identifying and adhering to fraud controls, risk prevention principles, sound governance and compliance processes, and tools to identify and manage risks
    • Assist in the preparation and support and provide evidence to all internal and external audit requirements.
    • Maintain quality risk management standards in line with ISO, Accreditation and regulatory requirements.

    • Adhere to all relevant laws, policies and Standard Operating Procedures throughout the organisation

    • Liaise with relevant stakeholders regarding follow-up of information, as required.

    Agent: Call Centre

    Purpose Statement

    • To provide customer engagement services, using initiative to resolve all customer queries telephonically on first contact for external clients, within the assistance of relevant internal SABS divisions while achieving set targets.  

    Minimum Requirements    
    Qualification

    • Diploma in Customer Relations, Customer Services. (NQF Level 5)

    Work Experiance

    • 1-2 years’ work experience in Customer Services, Information Services or Call Centre environment  (Operational Level)

    Duties and Responsibilities    
    Functional Management

    • Receive and handle all incoming calls and mail queries and requests and letters, email and faxes and respond within agreed turnaround times as per the standard operating procedures.
    • Prepare and respond to correspondence from the customers such as emails, faxes and letters received.
    • Ensure that all queries are logged on to the CRM system according to Customer Engagement standard operating procedures.
    • Ensure that service request reference numbers are provided for all logged correspondence.
    • Ensure that all customers are informed of the turnaround times per query and that all queries are resolved, as far as possible, on first contact.
    • Ensure that all customer requests are processed according to set procedures.
    • Receive relevant information from internal and external stakeholders to resolve customer queries.
    • Forward all unresolved queries to the relevant business unit and escalate to the relevant line manager
    • Attach correct supporting evidence to CRM service requests.
    • Ensure that the status of all opened emails are monitored and actioned accordingly.
    • Conduct progress verification on all work routed to the relevant divisions for execution.
    • Update the activity status on the CRM system, on all resolved and unresolved requests.
    • Connect internal employees telephonically with external clients and / or stakeholders as required
    • Assist in determining the impact / value of the information provided to customers through customer surveys
    • Maintain the workstation by reporting system related problems or faults to enable efficient and effective operations.
    • Provide administrative support to unit, as and when required.
