• The role is as part of a team in Cape Town and Johannesburg, which reports to the Client  Accounting Team Leader. It involves maintaining the accounting records of and producing timely and accurate financial statements for onshore trusts and companies, therefore requiring close and regular interaction and collaboration with team members in both Cape Town and Johannesburg, all members of the Family Office team, clients, the international accounting team and various external business contacts (including banks, SARS, 3rd party and in-house custodians and in particular accounting and tax compliance service providers).

PRINCIPAL ELEMENTS & ACCOUNTABILITIES

• Accounts maintenance of relevant information to trial balance level as well as  the preparation of financial statements 9Trusts & comapnaies) 
• Maintaining entity ledgers on a regular basis ensuring they are up-to-date
• Systematic filing and information gathering of client agreements with third  parties to identify actions required such as issuing invoices.
• Work with relationship managers to gather relevant information to allow the team to prepare financial reports, tax and other statutory returns for our clients within strict deadlines
• Liaising with the Trust Administrator and Middle Office Teams to ensure adequate supporting documents are in place for various updates in clients.
• Provision of relevant reports for client reporting purposes including client meeting  preparation
• Provision of reporting for local and international tax purposes
• Manage and maintain the tax compliance of allocated clients(Individuals, Trusts & 
• Companies) by ensuring all tax affairs are accurate, up to date and adhere to relevant  legislation.

QUALIFICATIONS AND EXPERIENCE

• BCom Accounting graduate having completed SAIPA Articles (with Professional  exam passed)
• Practical experience within the financial services environment in a similar role,  with exposure to local trust and company structures.
• Experience in a deadline-driven environment.
• Registered tax Practitioner or able to complete the SARS readiness program during the  interview process.

SKILLS
This position requires a good understanding of the following:

• Accounting knowledge and competence including IFRS for SMEs, basic understanding of trusts and investments statements, and the interpretation of financial statements
• Technical experience in Caseware, Xero and Microsoft Office
• Exceptional communication skills

• This role will be the main support to the Head of Family Office – Cape Town and the Family Office team in Cape Town. It is imperative that the person in this role must be a dynamic individual that can juggle multiple responsibilities while still producing quality work.

Main Duties Include:

• Act on behalf of the Head of Family Office – Cape Town, screening, directing and actioning inbox correspondence, liaising with any relevant teams, person to action in pursuit of addressing diary priorities
• Provide extensive diary and inbox management along with call and meeting scheduling
• Maintain calendars of relevant staff members within the team and set up meetings with staff members and clients
• Point of contact for offshore colleagues – assist with any requirements
• Assist marketing department with marketing requirements
• Assist at times with various client work, as instructed by Partners / Team
• Act as the point of contact among executives, employees, clients and other external partners
• Manage information flow in a timely and accurate manner
• Track daily expenses and prepare weekly, monthly or quarterly reports
• Format information for internal and external communication – memos, emails, presentations, reports

• The management of the Family Office – Cape Town team’s CPD points
• Assisting with the management of the office head’s administration – expense claims, certificates and information ordering gifts for clients, delivery of documents
• Ensuring the office head is kept up to date with any information relating to clients, which can have an impact on the client relationship
• Assisting with QR commentaries and reviews
• Ensure meetings are well prepared and catered for
• To pro-actively anticipate anything that could be required for example when unforeseen things come up
• Assist the Social Committee in the office

Travel Arrangement Duties:

• Liaising with a third-party provider to facilitate the scheduling of flights and accommodation for staff members within Stonehage Fleming.

Qualifications & Experience:

• Work experience as an Executive Assistant, Personal Assistant or similar role
• Excellent MS Office knowledge
• Outstanding organizational and time management skills
• Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
• Excellent verbal and written communications skills

• Understanding of the finance industry

OVERALL PURPOSE

• The primary purpose of the role is to support Portfolio Managers in Johannesburg to manage client investment portfolios by taking the client’s specific situation, the agreed mandate and the investment team’s views and preferred vehicles into account. The portfolio analyst will have a close working relationship with the Investment team.

PRINCIPAL ELEMENTS & ACCOUNTABILITIES

Portfolio Management

• Ensure proper take-on of new clients, collecting FICA and liaising with client service team
• Conducts suitability assessment of clients and analysis of client affairs (fact find)
• Prepare new client reviews and proposals
• Prepare and oversee client implementation plans
• Maintain and update client lists, provide tax statements when requested and calculate expected CGT
• Prepare cash flow forecasts using expected investment returns and cash needs
• Ongoing monitoring of client portfolios - preparing trade recommendations and rebalancing of portfolios when necessary
• Attend client meetings, prepare meeting packs, notes and minutes
• Prepare feedback to general client queries and ad hoc investment analysis requests
• Check monthly and quarterly reports and liaise with reporting team on requirements
• Reconcile and audit client reports
• Prepare quarterly commentary on client portfolios
• Assist with any ad hoc requests and general administration involved in maintaining client portfolios and files

Trading & Execution Support

• Take responsibility to ensure all trades are executed accurately and timeously
• Investigate trading queries

Compliance & Risk Management

• Ensure that client files are properly set-up and maintained

QUALIFICATIONS & EXPERIENCE

• Business, Economics or Investment related degree, preferably with Honors
