    Trades Helper / Escort

    Duties

    • The job holder will act as a Contractor Escort and Trades Helper for post's facility management section. As a contractor escort, job holder will be expected to follow all protocols for escorting contractors to the facility compound. As a Trades Helper, job holder will assist the technicians of the skilled trades in the performance of routine and preventive maintenance, and new installations and demolition work. In addition to assisting the skilled trade technicians, the incumbent may be assigned tasks including material handling, painting, custodial type work, snow removal, common laborer work, and grounds maintenance and gardening work. Job holders may be expected to work in adverse conditions such as tight or enclosed spaces, heights, and temperature extremes, indoors or outdoors to complete work assignments.

    Digital Production Coordinator

    Duties

    • The Digital Production Coordinator works under the direct supervision of the Public Diplomacy Officer for Strategic Content Coordination (PDO/SCC) or Public Affairs Officer (PAO) designee, and has no supervisory responsibilities. Is rponsibIe for the production of visual and multimedia elements of Embassand other Mission South Africa public engagement, including design, creation, and/or acquisition of customized visual and multimedia content that is disseminated online, in person, or via traditional broadcast. Creates compelling visual content for Mission South Africa outreach materials by assessing visual aspects of the South African media environment, public preferences for visual content formats and dissemination channels, and the impact of Mission visual materials.

    Visa Assistant

    Duties

    • The Visa Assistant (NIV/IV) performs a wide range of consular duties associated with delivering nonimmigrant visa (NIV) and immigrant visa (IV) services, in accordance with the Consular Sections’ standard operating procedures and established visa processing guidelines.
    • Incumbent performs data-entry, document review, correspondence, passport manifesting, visa printing, and other general office work.
    • Customer service focus is essential in a Consular Section that addresses a diverse range of applicants in person and via correspondence daily.
    • The position requires a high-level attention to detail to ensure case meet documentary requirements, as well as to spot trends or potential issues and escalate those as necessary.
    • The job holder is fully cross trained to function in any role as required by visa demand and scheduling.

    Case Management 

    • Manage interview scheduling, visa printing, and delivery for all NIV and IV categories, including complex cases.
    • Apply knowledge of visa classes to ensure correct processing, documentation, and annotations.
    • Screen applicant documents and prepare clear summaries when needed.
    • Assist with preparing and tracking SAO and waiver requests.
    • Track and deliver boarding foils and re‑entry permits for LPRs.
    • Ensure proper applicant scheduling and enter preliminary case data.
    • Download, organize, and group applications in NIV and IVO systems.
    • Enter nationality information and inform applicants of reciprocity fees.
    • Notify adjudicating officers of special processing steps or issues.
    • Capture applicant photos and verify application completeness.
    • Confirm required civil documents are included in IV files.
    • Initiate mandatory name checks in NIV and IVO.
    • Alert officers and FPU staff to case concerns or potential fraud indicators.
    • Conduct quality checks on printed visas and IV packets and ensure all clearances are complete.
    • Print and affix visas, organize cases, and maintain passport/foil logs.
    • Enter passport tracking information for courier dispatch.
    • Identify potential fraud trends and escalate appropriately.
    • Request or return IV visa numbers and ensure proper quota and chargeability controls.

    Communication 

    • Provide accurate visa information to applicants, petitioners, and legal representatives while maintaining confidentiality.
    • Communicate clearly and courteously with applicants, including during difficult interactions.
    • Maintain Embassy consular information on the website, phone lines, and public notices.
    • Contact applicants for additional documents or updates.
    • Coordinate with NVC, KCC, and USCIS to resolve case issues and verify waiver information.
    • Assist in creating and delivering outreach materials and participate in outreach events.
    • Provide interpretation support as needed.

    Accountability 

    • Safeguard PII for U.S. citizens and visa applicants.
    • Handle visa foils and other controlled items responsibly.
    • Maintain and secure physical and electronic files under Department regulations.
    • Organize cases based on status (terminated, pending, corrections, etc.).
    • Update Visa Unit documents and forms.
    • Destroy documents and case files according to required schedules.

    IT Administrator

    Duties
    Basic Function of Position

    • The Information Technology (IT) Administrator is a member of the Diplomatic Technology / Infrastructure team, and is primarily charged with maintaining the network, radio, and telephone infrastructures, ensuring confidentiality, integrity, and availability. This involves providing Tier 1 and Tier 2 support through multiple channels, conducting system analysis and configuration management, and managing system infrastructure with a post-wide impact level. Participation in Diplomatic Technology (DT) initiatives and fulfilment of other assigned duties round out the role, emphasizing a comprehensive approach to IT administration and support.

    IT Infrastructure & Network Administration 

    • Utilize system administrator privileges to provide Tier 1 and Tier 2 technical support for both on-premises, cloud-hosted applications, platforms, and server infrastructure. 
    • Manage and resolve IT infrastructure issues, including network, voice and television/media cabling, provider circuits, wireless and cellular networks, satellite connectivity, radio networks, audio and visual systems, television/media distribution systems, and voice communication systems, ensuring all communication systems meet operational standards.
    • Install, maintain, and decommission IT wiring and infrastructure in USG facilities, vehicles, and USD-owned or leased residences, adhering to Department wiring standards. 
    • Install and configure cabling systems, including conduit, junction boxes, and punch-down blocks for new installations, ensuring compliance with industry standards. 
    • Updates and preventive maintenance on data and voice network switches; telephone PBX, voicemail, call routing and auto-attendant systems; radio repeaters and radio over IP systems; audio and visual; and television/media distribution systems. 

    Event & VIP IT Support:

    • Provide IT support for visiting VIPs/VVIPs, establishing communication technology and high-speed internet connectivity at designated hotels and event sites to support the operational needs of the VIP. 
    • Lead on-site efforts, liaising with hotel or site IT teams, coordinating with local voice and data service providers, and collaborating with site security teams to arrange access and connectivity.
    • Provide audiovisual, multimedia, and videoconferencing support for internal events, including town halls, webinars, conferences, and awards ceremonies.
    • Design, maintain, upgrade, and support use of audio-visual-enabled, and virtual, conference rooms.

    System Administration & Access Control Management:

    • System administration duties, including managing and maintaining network and enterprise applications, user accounts, device/system configurations, and permissions. 
    • Leverage system administrator privileges and advanced tools to manage access to Department networks, cloud platforms, digital resources, and voice communication systems, including voicemail, call routing, and automated attendant systems. 
    • Automate setup, management, and deployment tasks using scripting. 
    • Apply approved software updates, monitor networks and IT facilities, and resolve performance issues to maintain operational efficiency and ensure compliance with regulatory and industry standards.
    • Routine maintenance tasks in DT processing spaces, including preventive maintenance, backups, facility checks, and supply inventories.
    • Support IT contingency planning and exercises including regularly testing and troubleshooting emergency communications devices and systems to ensure operational readiness in case of an emergency.

    User Support & Service Desk Management 

    • System administrator privileges to provide Tier 1 and Tier 2 technical support for both on-premises and cloud-hosted applications.
    • Provide ad hoc training on common IT issues, including remote technology usage and cybersecurity. 

    Training, Knowledge Management, & Cybersecurity 

    • Apply standards in developing and documenting solutions that support customer productivity. 
    • Assist Mission’s Information System Security Officer (ISSO) for maintenance of unclassified networks. 
    • Assist ISSO with training efforts to educate users on various information security best practices. 

    Project & Administrative Support 

    • Manage or participate in projects.
    • Provide and manage budget estimates, progress updates, timelines, resources, and documentation for projects.
    • Prioritize and coordinate project management activities.
    • Assist other teams within Diplomatic Technology at all mission locations to enable use of technology as a strategic diplomatic instrument. 
    • Asset management support to the Mission and Diplomatic Technology. 
    • Issue loanable property (e.g. laptops, tablets, phones, etc.) to customers with approved equipment requests.

    Provide general administrative support to the Mission and DT as required.

    • Designated authority as Occasional Money Holder/Purchase Card Holder. 
    • Serve as the Contracting Officer’s authorized representative.

    Option 2
    EXPERIENCE:

    • A minimum of 5 years of experience in computer networking operations, network management or utilization of computer systems.

    EDUCATION:

    • Completion of Secondary Education is required.
