    Temp Marketing and Communications Coordinator

    Job Purpose:

    • To support the Marketing and Communications Manager with the development, sourcing and availability of advertising and brand materials and collateral.

    Qualifications & Experience:

    • Diploma in Marketing, Communications, Public Relations or Commerce;
    • 1-2 years’ relevant working experience in Marketing/Branding/Administration (internship experience considered);
    • Knowledge of film and video industry will be advantageous;
    • Driver’s license will be advantageous.

    Key Responsibilities:

    Coordinate marketing:

    • Coordinate the procurement for marketing activities, markets, and festivals;
    • Coordinate marketing collateral, such as brochures, books, and pamphlets;
    • Facilitate the disbursement of brand collateral to internal and external stakeholders;
    • Coordinate and distribute marketing and brand collateral for events and festivals;
    • Ensure the appropriate branded materials are provided for each event, such as department branded banners or NFVF-funded event branding;
    • Ensure that staff attending events are equipped with the necessary marketing materials to support event objectives.

    Maintain marketing collateral stock levels:

    • Conduct regular stock takes of marketing collateral to ensure adequate inventory;
    • Notify the Line Manager promptly in case of low stock levels;
    • Procure marketing collateral as needed to meet operational demands;
    • Distribute marketing collateral efficiently and as required.

    Administration:

    • Maintain an effective filing system and recordkeeping process as per project requirements;
    • File and organize documentation systematically;
    • Conduct audits of project files to ensure accuracy and completeness;
    • Keep files and records up to date with relevant documentation;
    • Prepare and compile documents for the Auditor’s report;
    • Draft and compile application feedback letters.

    Temp HR Coordinator

    Job Purpose:

    • To provide human resources related administrative services to the organisation’s business units.

    Qualification & Experience:

    • Degree in Human Resources Management/Industrial Psychology;
    • 1-2 years relevant working experience (internship experience considered);
    • Knowledge of South African labour legislation.

    Key Responsibilities:

    Payroll Administration:

    • Add and terminate employees on payroll system;
    • Capture all necessary salary information and process leave/travelling/overtime on system;
    • Capture and amend pension and medical aid contributions;
    • Ensure correct employee and company contribution;
    • Update UIF records;
    • Distribute payslips to staff;
    • Receive and resolve payroll queries;

    Distribute IRP5s annually Administration:

    • Generate contract of employments for new employee;
    • Generate staff files;
    • Keep all staff files correct with all relevant documentation;
    • Audit staff personnel files monthly;
    • Inform line manager of staff achievements/additions to dependents etc;
    • Inform medical aid of new members and ensure completion of documents;
    • Liaise with the medical aid administrator;
    • Resolve queries;
    • Inform provident fund of new members or terminations;
    • Provide quarterly reports to HRM on leave balances.

    Recruitment and Selection:

    • Assist with compiling and placement of job adverts;
    • Liaise with recruitment agencies;
    • Schedule interviews and logistics;
    • Provide remuneration information to successful candidates;
    • Ensure that unsuccessful candidates receive regret letters;
    • Ensure that new employee have access, computer, benefits and company information;
    • Introduce new staff to NFVF employees.

    Training and Development:

    • Coordinate training;
    • Assist in the development of WSP and ATR;
    • Ensure employee training certificates are filed in staff files;
    • Advice Head of HR on training needs.

    Internship Programme:

    • Identify the NFVF’s needs in terms of interns;
    • Submit Letter of Intent to MICTSETA for internship;
    • Recruit host employers and identify their specific requirements;
    • Place interns at host employers according to the skills, abilities and knowledge of the interns;
    • Facilitate the induction programme and other sessions for the interns;
    • Ensure logbooks are signed and submitted on a monthly basis;
    • Schedule regular check-ins with interns and mentors;
    • Ensure record keeping of all internship programme documentation – logbooks, employment contracts, memorandum of understandings, qualifications, employee files. Staff/Internal Events:
    • Liaise with Communications on staff events;
    • Assist with coordinating staff events;
    • Schedule staff meetings;
    • Advice Head of HR on issues that need to be communicated in the newsletter.

    Temp Finance Coordinator

    Job Purpose:

    • To provide financial services support to ensure the smooth running of the National Film and Video Foundation’s Finance Department.

    Qualifications & Experience:

    • Relevant Finance or Accounting Degree/National Diploma or equivalent;
    • 1-2 years relevant working experience (internship experience considered);
    • Knowledge of working with SAGE Evolution will be advantageous.

    Key Responsibilities:

    Bookkeeping:

    • A record of petty cash is maintained;
    • Ensure petty cash statements are reconciled;
    • Check supporting documents/vouchers are authentic;
    • Banking;
    • Load requisitions for payments that are approved;
    • Process systematic filing monthly;
    • Capture and close off general ledger inputs;
    • Balance book to trial balances;
    • Ensure implementation of an economical accounts payable (grants, monthly operational payments, S & T and forex payments) process by reduction of the payment turnaround times(s) are effective and maintained;
    • Prepare cashbook reconciliation timeously;
    • Prepare general ledger reconciliations timeously.

    Office Administration:

    • Maintain stationery levels;
    • Record and reconcile stationery;
    • Maintain asset register and office equipment;
    • Maintain building administration and security.
    • Administrative Duties:
    • Ensure administrative support is provided to the finance department.

    Temp Events Coordinator

    Job Purpose:

    • To coordinate planned events and activations for the NFVF in the development and promotions of the film and video industry.

    Qualifications & Experience:

    • Degree/National Diploma in Events or Marketing Management or equivalent;
    • 1-2 years’ relevant working experience in events management and planning (internship experience considered);
    • Knowledge of film and video industry will be advantageous.

    Key Responsibilities:

    SA Film and Television Awards, Oscars, Event Activations, Ad hoc Projects and Travel Coordination

    • Coordinate and implement events and activation plan;
    • Act as a point of contact for event-related activities;
    • implement all activation plans aligned with event objectives;
    • follow up on reports after all planned activations.
    • Liaise with stakeholders in coordinating and ensure seamless event delivery;
    • Assist with the coordination of the SA Film & Television Awards;
    • Assist with the coordination of the Oscars process;
    • Assist with coordinating resources including suppliers, budget tracking, reconciliation, and checklist management;
    • Assist with travel logistics for internal and external stakeholders, aligned with the budget provided.
    • Ensure that events align with branding requirements and are delivered within scope and deadlines.

    Temp Council and Committees Coordinator

    Job Purpose:

    • To provide coordination services to the Company Secretary insofar as responsibilities pertaining to the Council, Committees, and Advisory Panels are concerned, and additional administrative duties.

    Qualifications & Experience:

    • Required relevant work experience is between 1- 3 years;
    • Relevant degree in Law/ Public Management/ or any relevant degree (NQF level 7);
    • Knowledge of the Public Finance Management Act;
    • King IV and Ethics Code (Desirable);
    • A CIS qualification will be an added advantage;
    • Computer literacy.
