    Building Manager (Riverwalk)

    POSITION PURPOSE

    Responsible for the management of the building. Develops related budgets, ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition.  Implements departmental policies and procedures and ensures that all operations are in accordance with established health and safety regulations.  Ensures that services purchased are of acceptable quality in compliance with the procurement policies.  Keeps Senior Management well informed of area activities and significant problems.  Trains, directs, and appraises assigned personnel. Ensure all buildings, grounds and equipment are well maintained in working order.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    Management Role

    • Assumes responsibility for the effective operations management of building and facilities.
      • Performs ad hoc quality control checks.
      • Ensures premises are in satisfactory condition.
      • Reports all items to Operations Manager especially if complaints have been lodged.
      • Ensures that urgent matters are reported immediately and attended to immediately.
      • Supervises and control maintenance site staff and allocate duties.
      • Performs certain hands-on maintenance work where required from time to time.
    • Assumes responsibility for the effective repairs and maintenance of the building.
      • Continuously survey buildings to identify maintenance needs.
      • Ensures compliance with legal regulations. Completes regular OSH inspections and updates monthly reports as appropriate.  Ensures that OSHA requirements are effectively implemented.
      • Responds promptly and efficiently to tenant maintenance requirements.
      • Responds promptly and efficiently to duties allocated to you by the Operations Manager.
      • Checks exterior and interior of buildings and identify problem areas.
      • Checks all fire equipment.
      • Ensures that he is familiar with how the emergency equipment functions and what the company’s emergency procedures are.
      • Performs repairs where necessary and if these cannot be repaired, advises the Operations Manager immediately. Contact relevant contractor.
      • Identifies daily maintenance issues, communicates with the Operations Manager and schedules the work for your attendance.
    • Assumes responsibility for ensuring professional business relations with tenants, vendors, contractors, and trade professionals.
      • Works to develop and maintain productive business relations with vendors, suppliers, contractors, etc.
      • Acts as a liaison between the Company and external contacts.
      • Ensures effective coordination of external services with Company operations.
      • Obtains and conveys information as appropriate.
      • Promotes goodwill and a positive image of the Company.
      • Follow up on invoices to process for payment.
    • Effectively assigns task to Centre personnel, ensuring optimal performance. (Management Role)
      • Assigns tasks and coordinates personnel and or contractors. Directs daily operations.
      • Ensures that staffing levels are appropriate. Interviews, hires, and assigns personnel as necessary.
    • Assumes responsibility for related duties as required or assigned.
      • Ensures that work area is clean, secure, safe and well maintained.
      • Completes special projects as assigned.
      • Performs any duties that may be allocated by the company and the Operations Manager
      • Familiarises himself with the emergency numbers and contractor’s details in order to assist the Operations Manager, or act in his absence as well as being on standby 24hrs.
      • Required to be on standby where required by the Management for emergencies.

    Other – Hotel Maintenance

    The employee will be responsible for the maintenance, repairs and upkeep of all hotel and spa premises and property and his job shall include inter alia:

    • Reporting on any immovable or movable property belonging to Urban Park Hotel including spa, conference centres, restaurant, foyer and reception, etc.
    • Attending to or assisting in the necessary repairs or maintenance of hotel property subject to consent/authorization by the general manager/owner
    • Liaising with contractors, sub-contractors, service providers, security and cleaning personnel, managing agents, etc. to ensure that the hotel property is maintained to a high standard
    • Supervision of all cleaning and precinct security staff in the hotel
    • All things as are necessary to ensure that the hotel security, cleaning, maintenance and repairs functions operate at a high standard and in keeping with instructions issued by the general manager from time to time
    • The employee shall keep a log of all activities performed by him for the hotel operation. He acknowledges that one third of his salary is funded by the hotel and will obey and observe all instructions issued to him by the hotel general manager/owner

    PERFORMANCE MEASUREMENTS

    • Good communication and coordination exists with departments. Assistance is provided as needed.
    • Senior Management is appropriately informed of area activities and of any significant problems.

    Legal Manager - Group & Property Management (Sandton)

    POSITION PURPOSE

    This position will be a shared resource and service both the Group Legal division and Property Management divisions.

    In-house Attorney dealing on a day-to-day basis with all matters that have legal consequence to the Group & Property Management within the Company, as well as providing guidance, training, advice and, where necessary, intervention, on the day to day running of the business from a general legal risk and compliance perspective.

    KEY RESPONSIBILITIES

    • Reviewing, negotiating, drafting and authorizing of contracts and other legal documents.
    • Provision of day-to day legal advice and opinions
    • Resolving of disputes / litigious matters
    • Co-Ordination and running of formal litigation, where required.
    • Responsible for legal compliance and risk management, which will include effective contract risk assessment
    • Interpreting and commenting on all legislation affecting
    • Perform dedicated comprehensive legal services on tenant legal matters to portfolios where same is required from time to time
    • Provide general legal assistance and support to the Company as required from time to time
    • Liaising with 3rd party attorneys from time to time when required
    • Maintaining and monitoring the Panel of Attorneys as appointed to provide services on tenant legal matters
    • Drafting and maintaining legal and compliance related procedures as and when required

    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    • Management of Legal Matters, where required by the client/portfolio:
    • Manage and provide guidance iro legal arrears on a day to day basis in conjunction with Property Management
    • Liaise with attorneys and counsel in order to expedite the collection of legal arrears,
    • Attend to and facilitate bad debt co-ordination and negotiations with Senior Property Managers,
    • Prepare, motivate and manage write-off documentation
    • Co-ordinate litigation
    • Provide/obtain/assess opinions required and advise accordingly.
    • Assist in negotiations for collection and settlement of debts
    • Manage external legal service providers incl 3rd party attorneys on litigation files
    • Ensure that legal reports are prepared accurately and distributed on time
    • Review and prepare agreements as required, including but not limited to, property management agreements, service provider agreements, lease agreements, addenda, cancellations, letters of demand
    • Liaise with Group Legal Services as and when required
    • Assist with all and any Group legal matters as and when required
    • Assist with insurance claims with regard to sourcing of information, providing guidance and management of litigation matters

    Contract Administration

    • Prepare contract documentation and templates
    • Develop and manage standard terms and conditions to ensure consistency of commercial agreements from a legal and risk management perspective
    • Ensure all contracts are kept current, up to date, easily accessible and placed in safekeeping
    • Assume responsibility for end to end contract administration and risk management
    • Ensure accuracy and completeness of all contracts, from initial preparation, discussion with management, through to contract renewal and service confirmation
    • Ensure legal contracts and other documentation are prepared for signature and followed up to completion and sign-off by appropriate parties
    • Ensure all relevant administration is maintained including scanning of all contracts onto the server, applicable access rights are applied and secure filing
    • Liaise with vendors/contractors, clients and their legal advisors where and when necessary to conclude contracts, escalating those issues beyond authority levels
    • Provide regular reporting on contract status and risks

    Legal Counsel Management

    • Provide recommendations and support for client engagements and negotiations
    • Represent and assist the Group and Property Management Divisions in litigation matters, and, where necessary, through external legal resources
    • Brief and manage external legal counsel
    • Manage and effectively control legal fees for external counsel

    Analysis and Research

    • Analyze service provider and client issued contracts to ensure they are in line with business requirements within all relevant commercial policies and are legally sound whilst highlighting any potential risks to the business
    • Research and analyze the implications of legislation and regulatory matters that affect the company and provide feedback to the company as and when required
    • Remain current and up to date on legal matters which may have an impact/be of interest to the company and its various service lines

    Risk & Compliance

    • Co-ordinate and ensure knowledge and compliance with relevant local laws and supervisory requirements in SA
    • Act as advisor on issues involving company compliance with governmental and regulatory standards
    • Assume accountability for accurate and sound interpretation of contract law to ensure short and long term mitigation of risk
    • Implement processes regarding the best legal operational practices/procedures within the Property Management Division
    • Review legal risks and co-ordinate the implementation of appropriate measures and or procedures to mitigate such risks

    General role

    • Manage and interact with team members to ensure the company brand remains the employer of choice
    • Provide guidance and support to the team and, where applicable, direct reports to ensure a culture of transparency and collaboration
    • Identify areas for development & training on legal matters within the team
    • Drafting of non-standard agreements and/or negotiate amendments on a range of contracts of varying levels of complexity
    • Manage various business contractual commitments
    • Advise on relevant regulations
    • Provide in-house legal support & training on general legal matters and risk management
    • Represent the Company and the Division on several Association bodies where required

    EDUCATION/CERTIFICATION:

    • Admitted Attorney
    • Relevant degree in law (i.e. B. Proc / LLB) complimented by minimum 5 years post qualification experience in corporate /commercial law, preferably with experience in the Property industry, ideally having in-house experience at a large corporate with good generalist legal knowledge .

    EXPERIENCE REQUIRED:

    • Experience in contract negotiation and drafting
    • Ability to provide independent advice (orally and in writing)
    • Ability to recognize matters that will require specialist legal advice
    • Good planning and organizational skills
    • Ability to communicate and interact at all levels of the Company and Client(s)

    Property Manager

    POSITION PURPOSE

    Responsible for the management of the Property. Ensure investment growth and maximum income of the Property through effective property management and asset control. Develops related budgets, oversees leasing contracts, procures services, handles third party service contracts, and directs maintenance procedures.  Ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition.     Property Management

    • Keep abreast of market activities in respect of tenant movement, new developments, major vacancies and other landlord’s strategies
    • Attend meetings / functions related to successful operation of Property i.e. SAPOA, CJP etc.

    Asset Management

    • Control/schedule/implement regular preventative maintenance program in line with budget constraints
    • Motivation of refurbishments, major repairs as appropriate
    • Attend site meetings with contractors in respect of maintenance/expansion of projects
    • Monitor progress
    • Inspection / enforcement of tenant responsibilities during and on termination of lease terms

    Senior Trust Administrator - Sandton

    POSITION PURPOSE

    Responsible for a variety of Trust administration related duties and support functions. Responsible for the completion of the monthly bank recons / Trust Account Reports. Provides assistance as requireResearch and resolves discrepancies and accounting arrears – completed related reports, summaries and records and performs related clerical duties.

    • Runs Admin Fees & Lease Fees on monthly Ledger Close & get sign off from Portfolio for posting, and ensuring invoices are generated and delivered.
    • Assists portfolio with Financial Year End requests relating to Trust (Segregation of Duties Applied).
    • Monthly debit order process (In-house platform and Banking Platform)
    • Complete full check and process of tenant refunds (ISO Document 8 Procedure 1/2/2)
    • Assist Manager with releasing of third party payments on various bank accounts
    • Assists with Internal / External Audits
    • Assists with Bank Charge Bank Recon Reviews (Segregation of duties applied)
    • Assists with queries raised on Trust Fault Centre

    Assumes responsibility for establishing and maintaining effective communication and coordination with area staff and management.

    • Interact with portfolios and Trust Administrators / Creditors resolve any unallocated entries & discrepancies on the bank reconciliation
    • Assists with administration in other portfolios, when colleagues are on leavAssists and act as substitution for area staff when on leave
    • Any non-compliance on company policies and procedures need to be escalated to Trust & Support Head + Group Risk & Compliance.

    Assumes responsibility for related duties as required or assigned.

    • Training and support for Trust admin staff
    • Runs errands as requested
    • Assists with special projects as assigned
    • Ensures that work area is clean, secure, and well maintained
    • Assist Trust & Support Head when required.
    • Management is immediately informed of any inappropriate conduct or behavior.

    PERFORMANCE MEASUREMENTS

    • Bank reconciliations are done accurately according to monthly time table
    • Unallocated accounts are followed up and resolved monthly
    • Admin Fees are processed accurately and paid timeously.
    • Debit Orders are processed accurately.
    • Good working relations exist with area stafAssistance is provided as needeEffective coordination and cooperation exists.

    EDUCATION/CERTIFICATION:

    • Matric + 3 years Bookkeeping (Books to Trial Balance)

    REQUIRED KNOWLEDGE:

    • Knowledge of bank reconciliations and investigating basic accounting discrepancies.
    • Understanding of basic bookkeeping concepts and procedures

    EXPERIENCE REQUIRED:

    • At least three years’ experience within a finance department, performing bookkeeping functions.

    SKILLS/ABILITIES:

    • Well organized & Attention to Detail
    • Good interpersonal and public relations skills.
    • Cooperative and willing to assist others
