    Events Coordinator - Johannesburg

    Purpose of Role    

    • The primary responsibility of the role is to plan and execute engaging and impactful events for various stakeholder groups, aligning event objectives with stakeholder engagement goals, and ensuring that events provide a platform for effective communication, relationship building, information sharing and community activation. 
    • This role requires exceptional organizational and negotiation skills, attention to detail, creativity, and strong interpersonal abilities.

    Objectives of Role    

    • Plan and coordinate events (both in person and online)from start to finish, including, scheduling, budgetmanagement, vendor management, venue selection, logistics, promotion and on-site coordination - organise stakeholder engagement events such as Annual Seminar, Portfolio Summit, Deal Celebration dinners, Talent teambuilding sessions etc.
    • Work closely with internal teams (Investments, Value Creation, Pipeline Programmes, Social Entrepreneurship) to identify each event’s purpose and expectations, provide guidance, and make recommendations to ensure that the event meets the needs of the team and achieves the set goals.
    • Collaborate with suppliers to negotiate contracts and ensure they deliver the agreed-upon services and products within budget and timeline.
    • Manage event logistics such as scheduling, venue selection, catering, audio-visual requirements, and equipment rentals.
    • Co-ordinate marketing and promotional materials required to effectively advertise the event and manage attendance.
    • Troubleshoot issues that arise during the event and make quick decisions to ensure the event runs smoothly.
    • Ensure brand visibility at events, including those with partners, by leading the production of event collateral such as banners
    • Conduct post-event evaluations to assess the success of the event, identify areas for improvement, and make recommendations for future events.
    • Process supplier invoices and expense claims using internal tools and software.
    • Perform other relevant duties as assigned by the Head of Stakeholder Engagement and E Squared’s Executive team.

    Experience and Qualifications    

    • Qualification or accredited certification in Public Relations, Communications, Event Management, Hospitality or a related field.
    • Proven experience in event planning and execution, with a minimum of 3 years’ experience in a related role.
    • Strong project management skills, with the ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
    • Excellent communication skills, with the ability to communicate effectively with clients, vendors, and event staff.
    • Knowledge and understanding of meeting and event planning principles, requirements, procedures and available resources
    • Strong attention to detail, with the ability to identify and resolve issues quickly and efficiently.
    • Ability to gather data, compile information and prepare reports.
    • Strong negotiation and budget management skills.
    • Proficient in event management software, social media platforms, and Microsoft Office Suite.
    • Ability to work flexible hours, including evenings and weekends, and travel as and when needed.

    Communications Manager - Johannesburg

    Purpose of Role

    Experience and Qualifications    

    • Bachelor's degree in Communications, Marketing, Public Relations, Journalism, or a related field.
    • Proven experience in a similar role, with a track record of successful communication campaigns.
    • Excellent written and verbal communication skills, with the ability to adapt writing style to different audiences and platforms.
    • Knowledge of branding principles and experience in maintaining brand consistency.
    • Strong editing and proofreading abilities with keen attention to detail.
    • Proficiency in using various communication tools and software, including content management systems, social media management platforms, and analytics tools.
    • Familiarity with graphic design tools and software is a plus.
    • Knowledge of SEO principles and best practices for digital content creation.
    • Ability to work collaboratively and effectively in a team environment, as well as independently with minimal supervision.

    Events and Logistics Coordinator - Cape Town

    • Co-ordinates events and logistics to ensure the successful execution of all Scholarship and Fellowship events. Focuses on achieving desired outcomes and delivering service excellence.

    Objectives of Role    

    • Source all resources required to stage each event
    • Develop detailed Event and Logistical plan for each event
    • Prepare a travel plan
    • Provide input and assists the manager in the drafting of the annual budget
    • Identify risks to event, develop costs contingency plans and present recommendation to Functional for review and assessment
    • Submit Event information to Functional Manager for Marketing to produce invitations and other branded collateral
    • Prepare cost estimate on all expenditure and submits for approval
    • Confirm venues and ensures that contract is signed, and payment submitted
    • Book venues and follow up to confirm requirements
    • Arrange the sourcing, booking and delivery of equipment, materials and other resources
    • Ensure that contracts are in place for all events and logistics service providers and that financial transactions are processed
    • Distribute event invitation to beneficiaries via Outlook as per event requirements
    • Issue event related information and/or invitations to identified stakeholders as required via Evite, Outlook meeting request, Google survey, etc.
    • Ensure that all changes to scope/plan for the event are escalated for approval and implements authorised changes
    • Ensure that Event communication plan is executed
    • Host and co-ordinates events
    • Complete travel expense summaries and reconciliations
    • Source and arranges booking of accommodation
    • Respond to changes in travel arrangements and makes alternative booking communicated promptly
    • E-mail vouchers to car hire company and confirms booking of car telephonically
    • Establish special dietary requirements and advises venue accordingly
    • Make transport arrangements
    • Co-ordinate the booking of all travel arrangements as reflected on Travel Requisition form
    • Reconcile Diners cards used for travel within the Foundation
    • Reconcile Master Card used for travel within the Foundation
    • Reconcile event Service provider invoices to statements
    • Update and maintains e-mail, phone and address lists for all service providers
    • Distribute correspondence to all relevant beneficiaries
    • Respond to telephonic, written enquiries and face to face requests for information related to events being managed
    • Communicate with service providers and suppliers and manage the relationship on behalf of the Foundation
    • Arrange for materials to be delivered to various locations
    • Assist the Manager to compile a report on all aspects of the event and logistics implementation

    Experience and Qualifications

    Junior Accountant - Cape Town

    Purpose of Role    

    • This role forms part of the shared services within the Finance Department by performing a number of accounting duties such as the processing of accounts payable documentation, reconciliation of creditor statements, assist with fixed assets management and general administration to the entities across the Allan and Gill Gray philanthropies 

    Objectives of Role    

    • Request and receive invoices from entities
    • Process supplier invoices for payment
    • Prepare accounts payable documentation for review and payment
    • Process payment batches in BPM and SAGE
    • Reconcile statements received from suppliers
    • Investigate queries on supplier invoices
    • Maintain fixed assets including the fixed assets register, reconciliation and verification
    • Maintain and update the entities Supplier list and vendor management
    • Balance sub-ledger with control account in General Ledger
    • Process journals for month – end close out
    • Maintain financial records of all transactions.
    • Follow up on outstanding accounts
    • Assist with the year - end close and audit process
    • Assist with special requests and projects as required
    • Monitor service desk requests and assign to relevant people ensuring quality control, this includes service desk request monitoring, first line resolution, assignment and management 

    Experience and Qualifications    

    • Relevant finance qualification (Degree or equivalent)
