Purpose of Role:
- The Receptionist is the first point of contact at a SPARK Primary School, responsible for ensuring a warm, welcoming, and professional front office environment for scholars, parents, visitors, and staff. The Receptionist plays a key role in maintaining strong family-school relationships through effective communication, efficient administration, and compassionate scholar care.

Responsibilities:
Front Office & Visitor Management
- Greet and welcome all scholars, families, visitors, and stakeholders with professionalism and warmth
- Manage visitor sign-ins and ensure adherence to school safety and security protocols.
- Answer all incoming calls and emails and direct queries to the relevant staff member in a timely manner.
- Maintain a tidy and professional reception area that reflects SPARK Schools' culture and values.
- Provide school tours to prospective parents and serve as a liaison during the enrolment process, including collecting personal documentation for enrolment files.
Parent Communication & Support
- Field parent queries regarding enrolment processes, documentation, and status updates.
- Respond to and assist with queries related to school fees, including payment channels, due dates, and account references.
- Schedule and coordinate parent-teacher meetings or appointments upon request.
- Provide information about school events, term dates, and school policies.
Scholar Support & Sick Bay Oversight
- Monitor and care for scholars in the sick bay, following school health protocols.
- Maintain accurate records of scholar incidents, illnesses, or injuries, and report to the School Operations Coordinator and relevant staff.
- Communicate with parents regarding scholar health incidents or early dismissals.
Administrative & Operational Support
- Maintain front office records, including attendance and scholar sign-in/out logs.
- Distribute school notices, letters, and report cards as required.
- Assist with procurement, stock-taking, and inventory of office and first-aid supplies.
- Receive and distribute school deliveries and mail.
- Provide general clerical support (filing, printing, photocopying) to school leadership and staff.
- Serve as the liaison for parents seeking enrollment or financial assistance by providing access to school telephones and offering support as needed.
Event & Logistics Coordination
- Support logistics and communication for school events, parent orientations, and open days.
- Provide on-the-ground support during major school functions and help coordinate guest check-ins.
Qualifications:
The ideal candidate will possess the following qualifications:
- National Senior Certificate (Matric) – Required
- Certificate or diploma in Office Administration or related field – Advantageous
Experience:
- 1–2 years’ experience in a receptionist, administrative, or customer service role
- Experience in a school or educational environment is highly advantageous
