    East & Southern Africa Service Delivery Assistant

    Main purpose of job:

    The scope of the Workplace Specialist covers Offices and Supply Chain Site East Africa & Southern Africa (South Africa & Zimbabwe). The role will be responsible for leading the Workplace & Travel Services transformation and be accountable for the day to day delivery of Workplace & Travel Services in line with established service levels and service line strategy. The services scope of this role includes primarily Facilities Management (both soft and technical services but excluding technical services inside the production areas of our Supply Chain factory). The services scope will also include activities across the other Workplace & Travel Services areas (Real Estate, Travel, Fleet Management, Sustainability initiatives and building projects and any other that will be part of our future journey).

    The role reports to the Workplace Services Delivery Manager Africa and will be part of the Africa Workplace Services delivery organization. 

    Key accountabilities:

    The below are the Key areas of deliverables as set out by the SDM for the ASDM role, the ASDM are to manage all reporting staff into this role to ensure targets & deliverable are met as per the below and to report back to the SDM role on all aspects at all times:

    • Drive the future of the office
    • Drive Re-imagine of Services
    • Drive Hybrid Working models and Digital Workplace
    • Drive transformation program with scope of Facilities Management to deliver employee experience, safety and wellbeing to Unilever and any other aspects in this area as advised by the SDM.
    • Accountable for the day-to-day site FM service delivery in line with established service levels and KPIs whether provided by a third party or by Unilever WPS team.
    • Weekly / Monthly management of Vendors by checking site audits
    • Weekly/ Monthly management of Vendors by ensuring supplier score cards is done on standards
    • Weekly/ Monthly reporting back to the SDM on all aspects relating to service delivery / Vendors
    • Reporting back to the SDM on Contract renewals coming up and vendor escalations 3 months prior.
    • Work with Africa WPS Procurement team to deliver all vendor contracts aligned to FMT.
    • Deliver innovations and improvement projects aimed at improving cost savings and service (think outside of the box)
    • Ensure timely and accurate performance reporting of both services and financial variances per CBT line items.
    • Full understanding of financial accounting for budgeting/ budget management / forecasts/ variance change and upcoming costs as well as scope adjustment with finance visibility to SDM.
    • Must be able to drive finances timely with all local finance business partners for the monthly view to the SDM
    • Understand and manage the monthly rental of the office through ROUA & IFRS 16. (both systems can be explained)
    • Evaluate operations and propose improvements as appropriate to SDM prior to other stakeholders
    • Conduct site business relationship management as well as internal stake holder management for respective role
    • Oversee and supervise the implementation of various site projects such as office renovations, maintenance works, office re-stacking, etc.
    • Support regional WPS initiatives and programs as led by SDM
    • Support Work Permit authorizations at facilities and any other SHE required input / audits.  Must b able to drive the SHE act and OHS act from a FM understanding on site.
    • Drive sustainability agenda as led by SDM
    • Drive and adhere to the Safety & Security culture and standards in Workplace Services
    • Workplace digitalization to improve employee’s experience
    • Last minute reporting with emergencies on site to SDM / SHE / Security (This will be for emergencies which might occur outside office areas
    • Drive and delivery any other requirements related to Business requests related to WPS & EX as requested by SDM / EX Director
    • Ensure weekly / monthly meetings with partner stakeholders as SHE / Security / IT/ (Sustainability & EX/ Medical – when required)
    • Ensure full visibility on all sites for all work-related aspects at any time during working hours except for emergencies where information might be needed
    • Must have extensive understanding an management of technical / soft and mechanical FM services and be able to manage and direct vendors.
    • Must have basic understanding of AV equipment.

    Experience and qualifications required:

    Essential

    • Extensive experience in Facilities Management or Building Maintenance Services (at least 5 years) preferably in a Supply Chain Environment or corporate office environment from a MNC or large and reputable local organization; This includes delivery and management of KPIs, SLAs, and relevant FM contracts.
    • Capability to implement FM local and regional programs and initiatives. 
    • Strong supervisory skills. 
    • Ability to establish rapport externally and internally in a multi-cultural environment
    • Have financial basic understanding of Forecasts / budgeting/ budget management
    • Good English language skills

    Desirable

    • FM Technical or Engineering & Soft services background.
    • Able to work at corporate office locations and engage with factories for FM Operations

    Learning Co-ordinator

    MAIN JOB PURPOSE:
    To provide overall learning administrative, and coordination support to the site. Responsible for coordination of overall training. Ensure compliance of and align site training plan to the overall skills budgets.

    JOB SUMMARY:

    • Monitor progress of training implementation against the training pan
    • Reports on all training activities
    • Establish and maintain a central interface between all key sub functions e.g. WCM, SHE,
    • Quality, Engineering, Operations, HR, Finance
    • Ensure compliance of use of accredited training vendors to maintain consistency and quality in delivery of training
    • Processing of training related costs and tracks these against the training budget
    • Support BBBEE compliance i.e. Skills Development
    • Coordinate training committees and their activities on site
    • Monitoring of assessments and assessment documentation and processes conducted within the factory environment – quality assurance and record keeping
    • Support SOP development standards at site
    • Monitoring of quality of design, development and delivery of external training providers

    KEY REQUIREMENTS:

    • Completed Learning and Development Degree/ Diploma/ Certificate/ OR experience in a technical related field
    • Assessor and Moderator OR SDF Certification OR Skills Development Facilitator an advantage
    • 1 year experience in a relevant training environment an advantage
    • Understanding and experience of SAQA, SETA and NQF requirements
    • Understanding of FMCG industry an advantage
    • Experience working with and partnering a diverse group of employees i.e. Management across to Blue Collar.

    WCM Coordinator

    Main Job Purpose: The WCM Coordinator is responsible for the coherent application of WCM techniques across the site. Working under the guidance of the Coastal ManEx Manager, she/he will apply rigorous cost deployment to convert losses to cost using loss trees and associated tools. This analysis will support the prioritisation of equipment, training and process interventions (4Ms) to eliminate those losses identified. The WCM Coordinator is the site’s leading practitioner for Focussed Improvement activity and Kaizen. This involves the teaching of problem solving tools and their frameworks, as well as facilitating the application of best practice and sharing of lessons across the site. The WCM Coordinator provides Teaching, Coaching and Mentoring on WCM issues for all leaders and operators within the site.

    Key Skills and Responsibilities:

    • Technical. As a minimum standard, WCM Coordinators require the mechanical skills of a Technical Operator. This provides them with the Maintain, Improve and Repair knowledge that detailed Continuous Improvement requires.
    • Safety - Utilise all appropriate safety and environmental procedures relating to the Site and allocated equipment to ensure a safe working environment for the whole team. Understand the legal responsibility placed upon individuals. Ensure that WCM activities, learning and training are embedded in a positive SHE culture; support teams in assessing risks for Autonomous Activities and Preventative Maintenance including Task Hazard Analysis.
    • Work Place Hazards – Full knowledge of the workplace and hazards within it. Utilises all appropriate safety and environmental procedures for people, processes, materials, products and equipment relevant to the task.
    • Environment – Implement and support WCM issues that reduce environmental impacts and costs associated with utilities, chemicals and product and operational wastes through maximising eco-efficient operation.
    • WCM Facilitation – Full Operating knowledge of WCM pillar structure and how pillars inter-link to deliver and sustain real business improvements. Inculcates the WCM philosophy of eliminating losses and waste across all factory personnel
    • Teach, coach and mentor semi-autonomous teams to utilize all necessary WCM tools, linking these to the reduction of losses in the factory.
    • Ensure that semi-autonomous and autonomous teams are adhering to the overall WCM Pillar Plan.
    • Conduct WCM assessments with semi-autonomous and autonomous teams to assist them driving down Losses and Waste.
    • Lead and facilitate WCM workshops, which focus on priority losses (liaise closely with HR, the Skills Trainer and
    • Manufacturing Manager to integrate and synergise all training and analytical interventions).
    • Support the development of local WCM training material, but draw on global material wherever possible.
    • Continuous Improvement - Use performance measures to identify and prioritise losses in production area. Apply rigorous Cost Deployment and the Zero loss concept to eliminate losses. Use routine improvements and problem analysis to trigger manufacturing innovation; this is an iterative process. Deploy these analytical skills across the factory.
    • Quality – Support the Quality Manager with the application of Quality Improvement tools across the site. Ensure Quality Maintenance tools are also utilised including analysis of Quality losses.
    • Personal Leadership –The WCM coordinator must lead engineering improvement using a high level of mechanical knowledge, clear communication and logical thinking.
    • Problem Solving - Identifies, prioritises and addresses problems using the full range of improvement tools and techniques that eliminate recurrence. Capable and confident of leading teams using Kaizen and other improvement tools.
    • Innovation- Apply a critical mind to innovate efficient processes and embrace new technologies to drive Competitive Advantage.
    • Business Awareness - Understanding of the need to meet changing demands and the role of marketing and product innovation in growing the business and increasing the company's share.

    Other Requirements:

    • In addition to WCM issues the WCM coordinator may be required by the Site Lead to champion additional performance areas
    • within the Site eg Eco-efficiency or diversity.
    • Flexible Day Worker – Normally operates on days, but must be prepared to attend the factory out of hours to support factory processes as required.
    • Flexible and agile worker to meet leadership duties and attend training.

    Professional Qualifications:

    • ND/BTech in Engineering Industrial, Mechanical, Electrical or Chemical
    • Nationally accredited Teach, Coach and Mentor qualification at a basic level (normally a 1 week course).

    Experience Required:

    Essential:

    • WCM Practitioner – Experienced WCM Practitioner able to identify the key synergies between pillars and Teach, Coach and
    • Mentor teams on the full range of continuous improvement and Quality Improvement tools.

    Preferred/ desirable:

    • Post graduate level education in mechanical, electrical or chemical engineering.
    • Experience of manufacturing in a Fast Moving Consumer Goods Company.
    • Experience as a team member within a Project Management team with an awareness of project management tools/techniques.
