    Operations Officer

    Purpose of Role    

    • Support operational planning and organisation performance measurement, translating the organization strategy into operational plans and budgets, measuring performance against the plan throughout the year, feeding back into strategy capability for monitoring.

    Objectives of Role    
    Strategic Support

    • Collaborate with Senior Manager in setting and driving organizational vision, into operational plans and organisation resource model,defined as required budget and people / service providers required to meet operational plan.
    • Support the drive towards organisational excellence and efficiency through active oversight of the organisation architecture enabling delivery. This architecture comprises of organisation processes, IT & systems architecture and job architecture.
    • Oversee and review and alignment of organisation capabilities, decision rights (PACE), culture and people strategy to the organisation strategy and desired impact.

    Strategy Execution

    • Support in the translation of strategy into actionable steps for growth, implementing organization-wide goal setting, performance management, and annual operations planning.
    • Define, manage, communicate and monitor enablement support offering for Programme Development and Implementation across HR, marketing, procurement, finance, data processing and IT management.
    • Oversee events and logistics service on behalf of the Allan Gray Makers
    • Ensure update of programme data as required.
    • Support Senior Manager in the development of organisation process architecture continuously aligning change and efficiency improvements. Develop & implement efficiency of business process and provides support to process owners in improvements.
    • Support Senior Manager in consultation with HR Business partner in the development and maintenance of job architecture.
    • Support Senior Manager to liase and coordinate with IT Shared services around infrastructure and systems in the context of the organisational goals and ensuring efficiency in partnership with IT Shared services.
    • Ensure compliance with national and local regulations, and take appropriate action when necessary, including establishing policies, standard operating procedures (SOP) and continually monitoring proper implementation of them, and reporting to the relevant bodies.
    • With Support of Senior Manager Operational Risk management across functional areas, working with managers to identify, evaluate and mitigate risks, escalating where necessary.

    Monitoring and Reporting

    • Support the definition, monitoring and analysis of operational effectiveness metrics.
    • Support Senior manager in developing continuous learning and improvement cycles that enable Allan Gray Makers to be a learning organisation that continuously improves the way it works and its effectiveness in delivering against desired outcomes.
    • Analyse and report on internal operations and areas for improvement .

    Stakeholder Management

    • Liase and coordinate internal stakeholders shared services, with a focus on understanding and addressing needs.

    Service Provider Management

    • Oversee and manager and implement procure-to-pay framework, standards and processes, including vendor / service provider management.
    • Manage service provider service level agreements, contracts and performance .

    Professional Knowledge

    • Attend knowledge forums to continually evolve and develop the body of knowledge required to execute on daily tasks. Keep up to date with leading industry practices, norms and regulations.

    Adhoc

    • Supporting the Senior Manager with their tasks and activities where required.
    • Support facilitation and coaching where possible

    Experience and Qualifications    
    Minimum qualification and experience:

    • Relevant degree in business administration
    • 2-3 years relevant experience in similar environment with Experience in overseeing or playing a supportive function in the operations of an organisation or programme. 
    • Passion for involvement in Philanthropy mission and experience in entrepreneurial development and/or enterprise development.
    • Organisational Strengths such as project management, planning, budget development and tracking, report writing, problem solving, capacity to develop processes and systems, detail orientation.
    • Strong inter-personal skills including stakeholder relationship building, verbal and written communication, media engagement, public speaking, facilitation and coaching.
    • Project Management experience
    • Strong partnership development abilities
    • Ability to work effectively in a team environment.
    • Willingness to travel to implementation sites in South Africa

    Preferred qualification and experience:

    • Relevant degree in business administration, or another relevant field.
    • 2-3 years’ experience in overseeing or playing a supportive function in the operations of an organisation or programme operating in complex environments.

    Programme Lead - Business advisory services

    Purpose of Role    

    • To direct and oversee the Allan Gray Makers Business advisory services, which aims to support technical businesses for sustainable growth and increased employment opportunities for others by providing access to industry mentors, business coaches, finance & marketing experts, shared business services and spaces, access to networks, community support and markets and wellness support. 

    Objectives of Role    
    Makers Hub

    • Implementation of all MakersHub business advisory services including:
    • Identify and source new industry mentors for Makers Growth Hub, Makers Start-up & Makers Maturity Hub Academy participants.
    • Host regional mentor launch events.
    • Identify and source new business advisors for Makers Hub (Start-up, Growth & Maturity) participants.
    • Develop relationships with artisan industry bodies to allow greater access to industry specific mentors for new & growing ventures.
    • Manage and oversee business Advisors.
    • Conduct growth wheel onboarding of business advisors.
    • Develop and maintain a Client Relationship Management (CRM) database detailing all contacts and nature of relationships with all mentors, team coaches and business advisors.
    • Benchmark MakersHub business advisory services against local and international incubation/acceleration programmes and instil culture of constant learning and improvement.
    • Ensure sustainable replicability of Makers Hub, business advisory programme.
    • Provide a central point of contact and support for all Mentors, Team Coaches and Business advisors.

    Strategic Management

    • Provide Input into overall MakersHub Business advisory Services and how best to scale including assessing how we could adopt various approaches including using a ‘implementation partner’ approach and designing a roll out plan for scale in collaboration with the Senior Manager.
    • Ensure ongoing alignment regarding MakersHub objectives and outcomes with Allan Gray Makers strategic intentions.
    • Communicate strategy to key stakeholders, both internal and external.
    • Build strong relationships with MakersHub participants, understanding their context and requirements so as best to encourage and support their entrepreneurial journeys.
    • Identify potential organisations and institutions that will add value to Makers Entrepreneurs.
    • Establish and develop networks within the entrepreneurship development field locally and internationally.  

    Stakeholder Relationship Management

    • Scoping of additional stakeholders and other institutional and implementation partners for the business advisory programme and programme elements
    • Scoping of co-funders for business advisory programme elements.
    • Build and maintain major stakeholder relationships of interest to the MakersHub within the entrepreneurship Incubator/Accelerator sector, manage varying expectations and communicate effectively with all relevant institutional and individuals
    • Conduct Ecosystem think tanks with major stakeholders to aid co-creation.
    • Communicate programme effectively to all stakeholders including wider public and media

    Analysis & Reporting

    • Compile programme progress reports for the Senior Manager & Hub Manager at agreed intervals.
    • Analysing information and data and compiling reports to the Senior Manager & Hub Manager on implementation, performance, and impact of MakersHub.

    Annual Budgets/Financial Management

    • Assist Hub Manager in developing annual operational budget.
    • Manage costs against approved budget.
    • Compile budget report-backs

    Team

    • Manage performance of programme officer.
    • Ensure adherence to all appropriate human resources policies and procedures.
    • Lead the Program Officers in such that they can reach their full potential.
    • Conducts performance review of Program Officers and coaches them as required.
    • Communicate with Program officer on ongoing basis.
    • Reinforce self-managed work team approach 

    Adhoc

    • Supporting the Senior Manager & Hub Manager where required.
    • Support facilitation and coaching where possible.

    Experience and Qualifications    
    Minimum qualification and experience

    • Minimum Honours degree in relevant field.
    • 5 years relevant experience in similar environment with Accelerator or Incubator experience, and programme design with a solid understanding of:
      • Entrepreneurship
      • Personal development
      • M&E
      • Accelerators
      • Incubators
      • Passion for involvement in Philanthropy mission and experience in entrepreneurial development and/or enterprise development.
      • Proven ability to conduct in-depth research and then compile course package as described in the specific deliverables above
      • Willingness and ability to collaborate and align with internal Allan and Gill Gray Philanthropy teams and external subject matter experts
      • A solid understanding of experiential and practical entrepreneurial learning
      • Project Management skills implementing curriculums that successfully deliver to learning outcomes.
      • In-depth knowledge of start-up trends and theories, and Human Centred Design principals
      • Large network in the entrepreneurial and or educational eco-system
      • Ability to plan, execute and lead
      • Computer literacy

    Preferred qualification and preferred experience

    • Post-graduate degree in Development Studies, Entrepreneurship, Curriculum Development, or another relevant field.
