    Logistics Coordinator

    Experiential and Educational Requirements

    • Matric
    • 2-3 Years related experience
    • Intermediate Computer Literacy (MS Office, SAP)
    • Knowledge of Export Documentation / Legislative framework & incoterms
    • Fluency in French is an advantage

    Essential Duties and Responsibilities

    • Process invoicing and shipping instructions daily as per the shipping rules and customer requirements.
    • Ensure accuracy of freight & other related costs on the invoices.
    • Manage all aging stock at AMS Warehouse.
    • Liaise with freight forwarders and logistic agents to ensure timeous delivery of shipments to Distributors.
    • Monitor shipment status & update Procurement Team.
    • Ensure all required documents are saved in local drive as per requirement, ensure compliance.
    • Analyze monthly reports & provide comments to the Team with sales and lead time variances.
    • Running and maintaining of logistics reports within the required deadlines (ie sales, lead times, loading schedules)
    • Upload Distributor Export Documents into AMS Portal. ie AWB / RCN within 1 day and BL within 3 days
    • Completion of Monthly Freight Forwarder provisions and payment requisitions.
    • Ensure billing is done within 1 day after dispatch confirmation and creation of Foreign Export Contracts on TMS system.
    • Letters of Credit: Ensure all LC requirements are met without any risk to AMS of non-payment.
    • Quarterly review of target lead times and shipping rules, agree new targets with Distributors.
    • Ensure all invoice goods receipting at AMS is conducted within agreed timeline for all suppliers (Direct & SA shipments)
    • Ensure inspections are conducted in time without any penalty costs to AMS and ensure licenses are valid.
    • Ensuring all month end deadlines are met (completion of billing and all logistics activities)
    • Conduct bi-annual analysis and review of logistics freight costs.
    • Ensure country procedures are up to date and understanding of country processes by Team members.
    • Ensure supplier invoices & payment requisitions are handed in on time for payment (attach all necessary required documents)

    National Payroll Administrator

    Key Responsibilities

    Payroll Processing and Inputs

    • Collect, verify, and input data for new hires, terminations, transfers, and other payroll-related changes.
    • Handle payroll inputs for perks tax, maternity leave, fuel allowances, and commissions and incentives.
    • Process timesheets and manage commission, incentives, overtime, standby, and shift data for payroll accuracy.
    • Payroll Imports and Data Management
    • Import and validate overtime, standby, commissions, and incentive data.
    • Ensure accurate and timely processing of payroll data, following company policies and regulatory requirements.
    • Benefits Administration
    • Manage applications, additions, and changes for medical aid and gap coverage.
    • Collaborate with HR and benefits providers to maintain updated employee benefit records.
    • Payslip and Document Distribution
    • Print and distribute monthly payslips and annual IRP5 forms to employees.
    • Ensure compliance and confidentiality in handling employee payroll documentation.
    • Reporting and Compliance
    • Prepare monthly reports for senior management, including the GM Report and training department reports (Staff and Step reports).
    • Conduct month-end reconciliations for third-party payments (garnished orders, SARS).
    • Ensure compliance with statutory obligations, such as SARS submissions and ACB payments.

    Data and System Maintenance

    • Regularly update employee personal data on the VIP system.
    • Maintain the payroll and HR system, ensuring data accuracy and security.
    • ESS (Employee Self-Service) Administration
    • Support ESS administration by creating new employee profiles and leave approvers.
    • Handle ad hoc ESS queries and general leave inquiries.
    • Month-End Reconciliations and Supplier Payments
    • Prepare and reconcile monthly end payments for suppliers, including ACB payments for loans, advances, and other supplier payments (eg, Sage, Alpion).
    • Prepare recon for each month-end payment to suppliers.
    • Document Management
    • Maintain payroll documentation by saving all input documents in employee staff files.
    • Ensure easy access and secure storage of payroll and benefits-related documentation.
    • Employee Assistance and General Support
    • Provide general assistance to HR administrators and handle payroll-related employee inquiries.
    • Support HR in various administrative tasks to ensure smooth payroll and HR operations.

    Warehouse Administrator

    Essential duties and responsibilities:

    • Assist in the physical verification of stock and ensure adherence to FIFO (First In, First Out) control procedures.
    • Confirm transfer orders in SAP to ensure accurate clearing of bins and alignment with SAP delivery notes.
    • Validate sales orders, purchase orders (POs), Bill of Entry (BOE), and packing requirements with Sales and Customers to ensure all specifications are met.
    • Organize and maintain a filing system for all daily delivery notes, ensuring they are accurately filed against the respective customer bins.
    • Process product returns within 48 hours in SAP and communicate any issues or updates to the Team Leader and GAP (Goods Allocation Process).
    • Be available to work overtime as needed to meet customer demands and contribute to continuous customer satisfaction.
    • Ensure that bins 923 and 200 are cleared at the end of each shift to maintain efficient operations.
    • Execute transaction VL060 to generate a daily list of outbound delivery documents, ensuring all special delivery instructions and addresses are followed.
    • Help prepare for stock takes and actively participate in regular stock counts to ensure inventory accuracy.
    • Oversee and ensure that daily housekeeping is performed according to 5S principles by all team members to maintain a clean and organized work environment.
