    Administrative Assistant III (P11) (Facilities Management Division: Transportation Department)

    Job Description:

    • The department renders a UJ Vehicle Fleet Service on the APK – DFC and SWC Campuses with an internal fleet and departmental vehicles and external rental companies.

    Responsibilities:  
     

    • To fulfil the role and responsibilities of a Fines Administrative Assistant at the APK Campus as well as the DFC and SWC campus, to administer all traffic fines, fuel slips, on-site diesel usage, e-toll statements, vehicle maintenance including tyres, batteries, and vehicle accident reports.

    Fines Administration:

    • Administer all the traffic fines of UJ vehicles, by collecting, re-issuing and posting to AARTO and accurate recordkeeping thereof.
    • Constant liaison with UJ staff, Metro and AARTO to get driver information for re-issuing.
    • Constant liaison with local Metro, AARTO and provincial Metro office to get updates on outstanding and new fines and completed re-issued fines to clear the fine data of the UJ and Proxy.
    • Benchmarking with AARTO and training of staff on AARTO regulations.
    • Driving to Metro, AARTO, DFC and local post offices to collect or deliver traffic fines and fuel reports.

    Archibus System and Administration:

    • Part of fine administration to obtain driver information from the Archibus System to re-issue traffic fines.
    • Completion of re-issue forms by scanning copies into the Archibus fine management system.
    • Uploading of maintenance and service invoices including accident reports.

    Fuel Slips and on-site diesel usage Administration:

    • Administer all UJ vehicle fuel slips received from Shell fuel station Melville and departments monthly.
    • Checking fuel slips with fuel records by ensuring that they correspond.
    • Recordkeeping and filing of fuel slips and records.
    • Submission to DFC Finance.
    • On-site diesel tank: to do daily weekly and monthly checks on diesel usage, diesel level checks and reporting of diesel usage versus fuel left.

    E-toll statements and e-tag units:

    • Ensuring proper recordkeeping, filing and administration of all e-tag statements as well as on-time cancellation or renewal of e-tag units.

    Fleet Inspections, accidents, and Reports

    • Weekly inspections on all Fleet and other UJ vehicles and reporting of findings.
    • Control administers and completion of accident reports and liaison with line manager and UJ insurance office.

    Control and oversee accounts

    • Weekly and monthly reporting of traffic fines and oversee and control various accounts on external fuel and on-site diesel usage, maintenance, services, tyres, batteries on Fleet and other UJ vehicles.

    Minimum requirements

    • National Senior Certificate (Grade 12)
    • 3 Year Diploma in Transport or Logistics Management (NQF 6)
    • Five (5) years working experience in Traffic Fines Administration.
    • At least five (5) years working experience as Administrative Assistant in a higher education institution or Private sector related to a Vehicle Fleet environment. 
    • A valid driver’s license (Code 10) – with a valid PDP
    • Fluency in English (written and spoken)
    • Ability to priorities workload and to work under pressure without supervision.
    • Must be willing to work after hours and weekends.
    • When required, it will be expected to assist with driving clients around after hours and over weekends and UJ or Public Holidays

    Director: Sustainability, Environment & Utilities (P5) (Facilities Management: Central Technical Services)

    Job Description:

    • The purpose of the job is to manage the various areas of sustainability, environmental management and utility and resource management (SEU) at the University of Johannesburg. The sub-departments are linked and the appointed director will report directly to the Executive Director: Facilities Management.
    • The role covers all four UJ campuses and other UJ facilities, namely Kingsway, Bunting Road, Doornfontein and Soweto, JBS Park and off campus facilities.

    Responsibilities:  

    • This diverse department requires that the appointed individual should be able to manage the varying requirements of a diverse range of specialists.
    • Perform overall departmental planning, auditing, performance measurement and the setting of departmental objectives that are in line with UJ long-term targets for the related areas.
    • Coordination and supervision of all activities related to the various areas within the areas reporting to the Director.
    • Provide leadership in the department to ensure that sub-departments all perform exceptionally.
    • Identify new projects in conjunction with the Executive Director: Facilities Management and the Senior Director Infrastructure Development and the Director Logistics and the Director Central Technical Services to provide facilities and support for internal requirements within the purview of the department.
    • Coordinate and supervise service providers in the sub-departments as well as in the broader UJ in the specific domains related to sustainability, environmental management and utility and resource management.
    • Compile and implement forward planning in all the areas in the department to ensure that the department fulfils its overall mandate.
    • Perform the required quality assurance of all SEU services required to achieve the department goals.
    • Analyse all service provision with respect to key performance indicators in SEU fields.
    • Advise regarding the development of improved service provision in all sub-departments to exceed the various regulatory minimum requirements.
    • Oversee and manage the financial aspects of all the sub-departments.
    • Adhere to and enforce compliance all UJ standards, policies, processes, and procedures
    • Identify and manage risks within the Portfolio
    • Ensure and enforce environmental compliance and sustainability
    • Plan and execute capital projects, including but not exclusive to SEU components of infrastructure, municipal services and emergency power, grounds and sports, student centres, and the fixed property portfolio

    Minimum Requirements:

    • A 4-year degree in any cognate field of engineering related to sustainability, environmental management, and utility and resource management
    • A minimum of 5 years’ proven experience in a management position involving clients at a high level. (Could be part of the period of specialist sustainability, environmental or utility management next.)
    • A minimum of 3-5 years’ proven experience in a specialist post in either sustainability, environmental management or utility management.
    • A minimum of 2 years’ Project Management experience in managing multi-disciplinary sustainability, environmental management or engineering projects.
    • A strong orientation towards analytical management with reference to service provision industries.
    • Experience of service provision auditing.
    • A minimum of 5 years’ proven experience in compiling and writing management reports and proposals, including monthly regulatory and management reports.
    • A well-respected leader who can inspire and motivate the academic community, students, alumni, and external stakeholders in the University’s to provide innovative best SEU-related practices.

    Responsibilities:

    In particular, the incumbent will:

    • Open doors for the University of Johannesburg to new and existing donors
    • Build relationships with new and existing prospects in aid of donor income for core projects of the institution. Core projects are ongoing and includes bursaries, 4IR projects and applied research funding etc.
    • Identifying new donors and re-activating lapsed donors as well as identifying new income sources for the university.

    Deputy Vice -Chancellor: Research and Internationalization (5-year contract renewable subject to performance)

    Job description

The University strongly emphasises positioning UJ as a leader in the Fourth Industrial Revolution (4IR), pioneering innovative thinking and sustainable strategic partnerships. 
    • UJ is seeking to appoint a dynamic, decisive, innovative team leader and role model for the Deputy Vice-Chancellor: Research and Internationalisation (DVC: R&I) position. The DVC: R&I is a member of the University’s Management Executive Committee. The primary responsibilities of the DVC are to provide exceptional strategic and senior executive leadership to advance and elevate further the University’s research and innovation excellence, its research, innovation and internationalisation partnerships and stakeholder relationships – nationally and internationally – and its Pan-African and global reputation for excellence. The role is also required to attract and nurture gifted scholars and students from diverse backgrounds and nationalities. In this way, the Deputy Vice-Chancellor is expected to significantly further the University’s Pan-African endeavours, Global Excellence and Stature (GES) programme and future strategy.
    • Reporting directly to the Vice-Chancellor and Principal, the incumbent will be responsible for strategic and executive leadership, management and governance of the portfolios (direct/solid reporting line) of Research, Innovation (including the integrated innovation-commercialisation ecosystem), Internationalisation, and the Library and Information Centre (LIC). Executive Deans and Deans at UJ have a dotted reporting line to the DVC: R&I.  

     
    The DVC: R&I will be expected to, among other things:

    • Determine, articulate, implement and lead the portfolio’s strategic and executive initiatives in accordance with the University’s Strategic Plan to enhance and support academic, research, innovation and internationalisation excellence and stature.
    • Ensure institutional compliance with the relevant statutory and regulatory framework in which the University functions.
    • Relevant to this portfolio, provide oversight and secure the strategic execution of GES and research institutes.
    • Act as custodian of the applicable rules, regulations, policies and charters in terms of which the University functions.
