    Responsibilities

    • Maintain procedural compliance about filing, documentation usage, et al.
    • Set up and maintain the site filing system.
    • Ensure employment records are completed fully for both employment and termination of Site Staff.
    • Take minutes during meetings as required and distribute same.
    • Maintain adequate stock levels of office supplies.
    • Highlight any potential problems, renewals, etc.
    • Maintain a record of all outgoing and incoming faxes etc.
    • Assist in providing a professional link between the client and the company. Ensure that all documents, e.g. minutes, documents and reports are accurately typed and distributed.
    • Distribute documents for comments/approval.
    • Perform office administration and document control when required.
    • Provide general office duties to assist staff members.
    • Conduct secretarial tasks on an ad hoc basis.
    • File, format, and deal with correspondence.
    • See to faxing and scanning of documents: the latter as may be necessary for storage/ authorized dissemination electronically.
    • Manage the Construction Manager’s diaries where required.
    • Be the main point of contact for site construction operations at the project site.
    • Assist the Site Team in maintaining the administrative aspects of the company.
    • Provide general administration duties to the Site Team, as necessary.
    • Maintain the petty cash, etc.
    • Maintain the Workman’s Compensation, UIF, and other related records.
    • Maintain good client relations and promote the company through good client service.
    • Make travel and associated arrangements.
    • Assist the Construction Manager in the compilation of all month-end and other reports.
    • Assist the Site Supervisors with all relevant Project weekly/monthly reports.
    • Handle, resolve and/or escalate to Construction Management customer/ general construction site stakeholder issues.
    • Follow company procedures and always abide by Company policies.
    • Perform any other activities necessary for the effective completion of his/her duties.

    What you will bring 

    Technical and Industry Experience

    •  3 to 5 years of practical project administrative experience in Construction Projects, Quality Assurance / Operations, within the Engineering or construction industry. On-site project administration is preferred.
    • Substantial technical, practical and leadership experience in the relevant discipline and proven experience in project engineering on smaller projects, with associated commercial and contractual experience.
    • Education – Qualifications, Accreditation, Training

    Required:

    • Matric is essential.
    • A formal CompTIA-accredited ICDL (International Computer Driver’s License) / formal equivalent.
    • Substantial coursework towards a Diploma in Business Management / Construction Management / Project Management or equivalent

    HR Global Process Excellence Director - LON033D

    Responsibilities

    Establishing the Worley Global Process Framework for People

    • Establish the process ownership capability across our people function
    •  Establish strong working relationships with other Worley functions that depend on people outcomes for success
    • Leads the global process team for HR across Worley , including Global Process Managers and Leads
    • Establish leadership credibility to ensure buy in to the target global process framework’s role in our success as a large connected global organization

    People Process Strategy

    • Accountable for setting and implementing the vision and drive strategic direction
    • Manage stakeholder engagement at Worley Group Executive and Senior Executive Level to influence change

    • Improve the end-to-end employee experience in a measurable way

    People Process Design

    • Focus on end-to-end process design, documentation, architecture including data, controls and policies
    • Accountable for continuous improvement in process design to enhance process efficiency, effectiveness and compliance while optimising costs
    • Accountable for effective documentation of global process blueprints, procedures, local exceptions, and changes

    People Process Oversight

    • Oversee the monitoring and analysis of process compliance and performance 
    • Establish process improvement priorities from data into insights , insights into action
    • Set and maintain process level master data standards within the context of the global policy and monitoring adherence
    • Ensure alignment to policy and people experience & knowledge artifacts for global HR processes
    • Employs human centred design practices, putting People at Worley at the centre of all that we do.

    About You

    • Significant senior level of expertise, developed HR subject matter expertise, owning the end-to-end People processes and experience as a GPO within a large-scale multinational, complex, matrix organisation.
    •  Sets and manages priorities, resources, performance targets and project initiatives in a global and regional environment.
    • A proven track record of managing complex programme portfolios and delivering measurable success.
    • Excellence in process improvement, change management, Agile Methodology, Six Sigma, Lean, Innovation Methodology, Design Thinking with certification is desirable.
    • Strong process ownership and management methodologies and in-depth knowledge of process mapping, analysis and optimisation techniques.
    • Familiar with ERP systems, workflow automation tools, and data management systems. Identifies trends, patterns, and opportunities for process optimization based on data analysis.
    • It is essential you can demonstrate your experience in the full end to end process design, possess a high degree of coordination and stakeholder management engagement.
    • As a strategic thinker you can identify innovative solutions and drive successful outcomes.
    • Your communication and work style enables you to influence and engage stakeholders at all levels of the organisation to gain by-in and successful outcomes.
    • You have proven experience in leading process transformation and change management initiatives.
    • Highly proficient in Microsoft Suite, especially in Excel and PowerPoint. Experienced using cloud-based tech platforms to manage Workforce processes, such as Oracle and ServiceNow. Identify trends, patterns, and opportunities for process optimization based on data analysis.
    • Excellent communications skills, develops and executes change management strategies to ensure successful uptake of new processes.
    • Qualified in Human Resources or equivalent tertiary degree.

    The Requirements:

    Job Specific Knowledge / Experience

    • Deep domain knowledge in the use of a suite of EPC/EPCM project delivery-specific applications in the energy, chemicals & resources sector
    • Hands-on practical experience as a project delivery lead specialist with one or more of the major tools / solutions for SCM on major projects or significant
    • Experience with facilitating workshops in a virtual environment
    • Sound understanding of business analysis techniques and methods to extract requirements, document processes and translate business needs into functional outputs
