What you will do
- At Volvo Trucks you will contribute to the transformation of our company, the transport industry and society at large.
- The purpose of the role is to be responsible for the administration function within the sub-branch which includes Parts, Workshop admin, Finance, HR and other related administrative functions.
- Reporting: This position reports to the Branch Administrator.
Job Objectives:
HR
- All communication to be handed to staff.
Kronos/Payspace
- Inputting of leave on the Payspace system.
- Inputting of overtime/leave on kronos.
- Filing of all Overtime sheets (kronos).
- Approving overtime on kronos.
- Print timecard for Employees.
- Load New Employee on Kronos and issuing Clock Cards.
- Submit Incentive sheets monthly.
Finance
- Advise finance department of payments received (30 days accounts).
- Receipting payments from bank statements daily.
- Receipts payments to COD Accounts.
- Ensure all payments received are filed accordingly.
- Liaise with Parts Sales and workshop outstanding invoices daily.
- Assist branch administrators with COD remittance when not available.
- Sending customers invoices from Fusion when required.
Switchboard
- Assisting Receptionist when not available.
- Receiving customers.
- Relieving Receptionist during lunch breaks.
- Taking accurate messages.
- Answering of telephones promptly.
- Sending courier via DSV.
Customer Focus
- Take action to resolve customer account queries.
- Take action to meet customer needs.
- Take action to address customer concerns.

- Matric or Grade 12.
- Secretarial or Administration Qualification advantage.
- 3 years Branch Administration experience.

- Follow repair, maintenance instructions and specifications as per the manual.
- Ensure excellence in customer service delivery through meticulously following procedures/processes.
- Provide comprehensive and accurate reports on diagnosis, assessment of component/part, failures, observations, actions and recommendations.
- Follow procedures for breakdown work:
- Liaise with driver before responding to customer breakdowns;
- Ensure the correct documentation is in place and accurately completed before submission.
- Compliance to ISO 9001 and other Safety standards.
