    Administrative Coordinator (2365)

    MINIMUM REQUIREMENTS:

    • An administrative qualification at an NQF level 6.
    • At least three (3) years of personal and administrative assistant experience.
    • Lived experience and/or exposure to assisting a visually impaired individual is essential. 
    • Proficiency in using IT business applications such as MS Office Suite, SAP, etc. 
    • A valid driver’s license is essential. The incumbent must be able to drive. 

    KEY RESPONSIBILITIES:

    Office Management:

    • Attend to the Senior Legal Advisor’s specific administrative needs.
    • Proactively support the Senior Legal Advisor with matters within his scope of work.
    • Ensure that all matters for the Senior Legal Advisor’s attention are addressed timeously.

    Administration:

    • Manage general office admin and filling of documentation.
    • Process incoming documents by prioritization and distributing accordingly.
    • Manage the Senior Legal Advisor’s diary on MS Outlook Calendar, including a systematic method/approach of tracking emails.
    • Manage and arrange meetings and appointments for and on behalf of the Senior Legal Advisor and ensure the relevant documentation for meetings is available in the required mode.
    • Type and draft correspondences relevant to the Senior Legal Advisor’s scope of work.
    • Provide general administration support to Senior Legal Advisor.
    • Format documentation and reports and ensure that they are professional.
    • Read, populate, and transpose information onto various MS Apps for business use.
    • Assist with IT systems and connectivity.
    • Manage all travel requirements of the Senior Legal Advisor.

    Physical Aiding Services

    • Support the Senior Legal Advisor during meetings including enabling introductions, social networking, and note-taking.
    • Support the Senior Legal Advisor to use workplace facilities including meal and drinks preparation, and access to lifts and restrooms.
    • Support the Senior Legal Advisor in using workplace tools such as enabling IT equipment and arranging special equipment where necessary.
    • Carry equipment and bags on behalf of the Senior Legal Advisor
    • Accompany the Senior Legal Advisor to physical meetings by hand.
    • Assist with item recognition/sorting.
    • Drive and travel with the Senior Legal Advisor for business meetings/engagement.

    Ethics Officer (2556)

    MINIMUM REQUIREMENTS FORMAL EDUCATION:

    • A Bachelor’s degree in law, business administration, or management at NQF Level 7.

    WORK EXPERIENCE:

    • 8 years’ experience in ethics and integrity management of which three (3) years must be at a supervisory level.

    ADVANTAGEOUS

    • A postgraduate qualification in Commerce/ Law or Corporate Governance at NQF Level 8.
    • Certified Ethics Officer (professional designation through the Ethics Institute).

    TECHNICAL COMPETENCIES:

    • Strong knowledge of legal and regulatory requirements
    • Minimum Information Security Standards (MISS)
    • King IV principles
    • National Anti-Corruption Strategy
    • Ability to maintain confidential and handle sensitive issues
    • Analytical and problem- solving abilities

    KEY RESPONSIBILITIES:

    The Ethics Officer will assist the CLRCO in carrying out his/her responsibilities in the following areas:

    • Advocacy and Training on Ethical Standards, values, Regulatory requirements and ethical decision making.
    • Render Advice to managers, staff, on ethical issues, risks and insights on ethical implications for the organisation.
    • Manage the Financial Disclosure and Conflict of Interest Register.
    • Development of Ethics Management governing documents including an implementation of the Ethics Management Plan.
    • Project Manage the establishment and Management Ethics Committee.
    • Monitor and track all cases of alleged retaliation reported by a staff member.
    • Assist the CLRCO in reviewing unethical cases, handling complaints from whistle-blower hotline and in establishing prima facie unethical cases for referral.
    • Assist the CLRCO in recommending appropriate measures for the protection of the whistleblower.
    • Monitor and follow up on all administrative actions taken with respect to the whistleblower and related parties (as needed).
    • Monitor the whistle-blowing hotline and assist the CLRCO in managing cases of unethical conduct.
    • Identify potential ethical risks and develop strategies to mitigate them.
    • Promote a Positive Ethical Culture by encouraging an organisational culture that prioritise ethical behaviour, accountability, openness, where employees feel safe to report unethical conduct.
