    Chief Registry Clerk (Human Resource Administration)

    Requirements

    • Matric Certificate/Grade 12 or equivalent;
    • Recognized National Diploma/Degree in Archive and Records Management/Business Administration or equivalent (NQF level 6/7);
    • With 1-2 years’ experience in Registry and Human Resource;
    • Drivers licence and knowledge of ITS and PERSAL will be an added advantage.

    Skills

    • Computer literacy;
    • Team work.

    Duties
    Supervise and render an effective filing and record management service:

    • Opening and closing files according to record classification system;
    • Filing/storage, tracing (electronically and manually) and retrieval of documents and files;
    • Safe keep all Human Resource Records;
    • Update personnel files;
    • Provide records as and when required for auditing purposes;
    • Dispose files in terms of the applicable legislations and approved College policy.

    Assist in recruitment and selection to the college:

    • Process applications, handle responses and shortlisting processes;
    • Prepare for interviews (arrangements of interviews such as dates, venues, and invitations);
    • Develop and update recruitment database;
    • Ensure that HRIS (Human Resource Information System) is accurate and updated.

    Assist in conditions of services and remuneration of employees:

    • Maintain staff files;
    • Submit reports to management as required so that they are informed of HR related matters and take informed decisions;
    • Process payroll for all employees and deal with all administration and queries relating to the Pension Fund;
    • Process Pension, Housing Allowance and Long Service benefits, etc.;
    • Supervise and guide staff;
    • Manage the development and performance of other staff;
    • Manage the performance agreement of the staff.

    Financial Management Trainee

    Minimum Requirements

    • N6 Financial Management.

    Post Description

    • Handing out of DoE bursary forms and Schedule of Particulars (SoP) to applicants;
    • Explain to the applicants the required documents they need to submit with their application;
    • Explain the completion process of the application forms and SoP;
    • Inform students about the due date for submission of completed forms and SoP;
    • Check against the checklist (SSS FOR 008) if the applicant has completed all the fields;
    • Submit to SSS–Corporate Centre (CC) the applications of those students who have submitted the required documents and keep a name list thereof for record purposes;
    • Follow-up on returns from SSS-CC or NSFAS;
    • Work on accommodation/transport claims of the students who have been awarded DoE bursaries for submission to SSS-CC and keep record thereof;
    • Make copies of required documentation in relation to DoE bursary administration at the campus.

    Management Assistant Trainee

    Post Description
    Assisting in all administration and office tasks and duties as assigned, including:

    • Receiving telephone calls;
    • Rendering customer service;
    • Information processing (memoranda, letters, e-mail, internet, minutes, etc.);
    • Filing of documentation and records;
    • Collection of post/faxes and distribution to relevant staff as required;
    • Data capturing;
