    JOB DESCRIPTION

    KEY RESPONSIBILITIES:

    Pre/post Checking Supervision:

    • Oversee the pre/post- checking of information to ensure accuracy.
    • Oversee the pre/post-checking of calculations to ensure accuracy.
    • Oversee the post-checking of data accuracy on the payroll system.
    • Stay updated on all relevant People & Culture (HR) policies and procedures.
    • Ensure that all P&C related policies and procedures are implemented and adhered to.
    • Ensure timeous monthly handing over to Finance Payroll (for third part payments process).

    Payroll Administration supervision:

    • Ensure the effective execution of Payroll Administration Processes to meet monthly pay dates.
    • Oversee the maintenance and capturing of relevant employee data on the HR system.
    • Oversee the administration of benefit items pertaining to appointments.
    • Co-ordinate payroll process and activities.
    • Ensure corrections are done on system after dummy pay run.
    • Ensuring timeous handing over of accurate and completed data to Finance Payroll Section by due date
    • Ensure that correct filing procedures are followed, and filing is done accurately and timeously.

    Registry and Records Supervision:

    • Implement policies, procedures and healthy practices related to records management.
    • Enforce good document control by processing, filing and disposing as per the NWU file plan.
    • Maintain document compliance for auditing purposes.

    Organisational Structure Administration and Maintenance:

    • Ensure the implementation of changes and accurate maintenance of positions on the oracle system as approved by relevant role players.

    HR Administration Supervision:

    • Ensure that relevant HR support is provided to the payroll function as and when required.

    Quality assurance:

    • Ensure data integrity of own focus area on the HR system; Adhere to all administration policies in the environment.
    • Ensure P&C applicable processes and procedures is followed.

    People Supervision:

    • Ensure effective operation of unit through personnel supervision, and provision of adequate resources and facilities.

    Minimum requirements

    Manager: Activations and Sponsorships N000998

    PURPOSE OF THE POSITION:

    To manage the Activations and Sponsorships sub-department. This role is responsible for Marketing Sponsorship, Activations and Events Management in the Marketing and Student Recruitment Department. The manager ensures the alignment of sponsorship, activations, and events with business strategy, to secure funding and resources to execute plans and manage and implement the sponsorship strategy that supports student recruitment and communicates NWU brand values.

    KEY RESPONSIBILITIES:

    Manage the Activations and Sponsorship Subdepartment:

    • Manage the Activations and Sponsorships sub-department.
    • Plan, oversee and create the Activations and Sponsorship plan for execution in line with the NWU strategy in collaboration with the Director: Marketing and Student Recruitment.
    • Manage and supervise the execution of activations and sponsorships throughout the year.
    • Compiling Management reports and project reports and ensure all relevant administrative tasks are executed in the sub-department.
    • Ensure positioning of the NWU in the market to attract quality students to meet the enrolment targets in line with the NWU strategy.
    • Ensure proper management of relationships with sponsorship, activations, and events stakeholders to enhance student recruitment activities and build the NWU brand.
    • Develop measures to evaluate the impact of the sponsorships on the brand and the continued relevance of sponsorship initiatives.
    • Conducting market research using insights to deliver improvements in the sub-department together with Market Research and Data Analytics.

    Internal Activations and Events:

    • Market the university brand attributes through activities like webinars, open days, activations, and campus visits.
    • Ensure the effective management of campus visits for prospective learners and school groups.
    • Responsible for planning and organising various student recruitment events on all three campuses.
    • Responsible manager to ensure the availability of activations and promotions content, like the virtual tours.
    • Liaise with internal stakeholders to ensure that they assist in these events.

     External Activations and Promotions:

    • Identify opportunities to use sponsorships & activations to build, heighten and strengthen NWU Brand awareness.
    • Liaise with relevant stakeholders and media to ensure that the activations and sponsorships are amplified.
    • Responsible for planning and organising various off-campus student recruitment - and activation events.
    • Assistance in co -hosting sponsorships like symposia, sport series, conferences, congresses etc (virtually/ in-person) with the objective of enhancing the NWU brand.
    • Facilitate NWU involvement in relevant activations and sponsorships.

    Projects and Sponsorship:

    • Ensure brand adherence and control measures are in place to measure that sponsorships offer the agreed upon benefits to the NWU.
    • Manage the prospective learner loyalty programme in collaboration with the relevant project manager.
    • Ensure that the mascots are effectively used as a vehicle to promote the NWU brand.
    • Developing database or pool of entertainment talents (i.e. Singers/ performers) for events.
    • Project leader for NWU recruitment events.
    • Team member of various projects in the department.

    Ad Hoc:

    • As assigned by the Director and Senior Manager.

    MINIMUM REQUIREMENTS

    •  A minimum of 5 years’ proven experience and knowledge of the school sector.
    •  A minimum of 5 years’ experience in the activations and sponsorship environment.

    RECOMMENDATIONS / ADDED ADVANTAGES:

    •   A Master of Education (NQF level 9) in Career Guidance or Master of Commerce (NQF level 9) in Marketing.
    •   A minimum of 2 years’ experience in the university’s sector and knowledge of study fields and career guidance.
