Duties and responsibilites:
- Operating of the switchboard, including answering calls, taking messages and general reception.
- Greeting/attending to clients/visitors in a professional manner.
- Attending to bulk mailing and social media campaigns.
- Inviting and confirming attendees for show houses.
- Manage general and service inquiries.
- General office assistance.
- Arrange meetings and manage diaries.
- Booking of meeting rooms.
- Maintaining a high level of customer service.
- Maintain and update CRM daily.
- Keeping the reception area neat and tidy.

- You will be responsible for overseeing and managing all bankable transactions to ensure that bond conditions, compliance requirements, and registration processes are met timeously and accurately.
- The role is critical in driving efficiency, preventing delays, and ensuring that all bankable deals are registered within agreed turnaround times. This position requires close collaboration with transferring attorneys, registration attorneys, clients, bond consultants, tenants, banks, accountants and internal senior stakeholders.
To qualify for this position, you need:
- Matric.
- Conveyancing Qualification (advantageous).
- 3 to 5 years Conveyancing experience in Bonds with Conveyancing Attorneys.
- Bonds registration expertise - handling high volume of files.
- Deadline driven.
- Strong communications skills.
- Accurate record keeping skills.
- Liaising with Conveyancing Attorneys and Conveyancing Secretaries.
- Liaising with internal stakeholders.
Duties and responsibilities include, but not limited to:
Bankable Transaction Auditing:
- Auditing all bankable transactions to ensure that all bond conditions have been met prior to registration.
- Verifying compliance with specific bank requirements, including (but not limited to) bank accounts, debit order mandates, guarantees, and special conditions.
- Identifying and proactively resolving potential bottlenecks before registration is delayed.
FICA & Compliance Management:
- Ensuring that all FICA and compliance requirements are fully met when files become bankable.
- Compiling and verifying complete FICA packs for each transaction.
- Ensuring that the full FICA pack is submitted to the relevant bond registration attorneys immediately upon instruction being sent out.
Attorney & Process Coordination
- Liaising with bond registration attorneys to track the status of drafting, guarantees, and appointment scheduling.
- Following up proactively to ensure there are no delays in drafting documents or setting signing appointments.
- Conducting weekly coordination meetings with all bond attorneys working on company developments to review progress, bottlenecks, and timelines.
Client & Stakeholder Liaison:
- Liaising directly with clients where attorneys are experiencing difficulty obtaining information or scheduling appointments.
- Assisting in coordinating signing appointments where necessary to avoid delays.
- Acting as the communication link between clients, tenants, and banks regarding retention upliftments and related requirements.
External Liaison & Documentation:
- Liaising between bond attorneys and accountants to obtain required auditors’ reports and/or certificates of loan accounts.
- Ensuring that all supporting documentation is obtained, verified, and submitted timeously.
Turnaround Time & Performance Management:
- Actively managing and tracking all bankable deals to ensure registration within a 45-day turnaround period.
- Monitoring progress against timelines and escalating risks or delays to management proactively.
- Maintaining accurate reporting on transaction status and readiness.
Stakeholder & Working Relationship Management:
- Working closely with transferring attorneys, external bond registration attorneys, bond consultants, clients and tenants, banks and financial institutions, and accountants and auditors to ensure effective coordination and timely registrations.
Quality, Compliance & Operational Effectiveness:
- Ensuring strong compliance awareness and adherence to bond registration and banking requirements.
- Applying excellent attention to detail across all transactions and documentation.
- Managing multiple transactions simultaneously under pressure while maintaining accuracy and service standards.
- Demonstrating strong organisational, time management, communication, and stakeholder management skills to achieve consistent outcomes.
