    Area Manager

    Job description

    Responsibilities

    • Ensure the GREF vision, standards and policies are implemented, managed and adhered to within each area.

    • Build strong relationships with key business stakeholders by monitoring and listening to feedback, delivering bespoke reporting for business critical elements for example occupancy, new site launches and facility improvements.

    • Ensure that the buildings for which responsibility is held are presentable, clean, safe and an acceptable environment for occupants and visitors.

    • Ensure that the Facilities Management and Real Estate Services are performed and delivered in accordance with contracts, proposals and strategies.

    • Ensure that all relevant financials by country, building and projects are managed in accordance with budgets, compliance and specific timelines.

    • Report all matters relating to the sites, risks, projects, budgets and details to the EMEA GREF Portfolio Planning Senior Manager when needed to and as agreed in the reporting cadence and structure.

    Space and Occupancy Requests

    • Manage all new space requests with our customers by consulting with them, documenting these requests and surfacing to leadership team through the weekly strategic committee

    • Manage the quarterly headcount review process within the Area with support from the Space & Occupancy planner for EMEA to ensure smooth data gathering. Outline where the contact from where the data has come, who the L10 business and finance contacts are and

    • Communicate any new space requests with the local customers (business/site/finance leads) and lead them through the phases of any new project

    Customer Obsession

    • Develop and manage strong relationships with key business stakeholders. Communicate the pro-active GREF strategies for the sites with those business stakeholders, whilst monitoring and listening to feedback on how their business is evolving, what they need to facilitate this change and helping them understand the journey we will take them on to get there.

    Facilities Management

    • Manage a team of contractors providing an efficient and cost effective service to all building occupants in the delivery of facilities services. Provide management, direction, monitoring and evaluation of performance and delivery against the agreed specification. Report and escalate non-performance.

    • The on-site MAC and FM teams will be reporting to the Area Manager for all day to day activities, planning and data gathering relating to the sites in the area.

    Property/Portfolio Management

    • Maximize the potential of the building portfolio while improving space utilization, ensuring assets are kept in good order and business needs are met.
    • Manage landlord, lease relationships and sub-tenants (where applicable), working together with the EMEA lease administration team, and EMEA Leasing and Transaction specialist.

    Safety and Security

    • Ensure all Health and Safety legislation is adhered too; incidents reported, logged and fire evacuation procedures followed, if necessary via outsourced partners.
    • Work together with the EMEA assurance team to ensure security systems are in working order and that any incidents are escalated as necessary as a priority.

    Project Management

    • Ensure that the premises are properly utilized as designed and that minor moves/redecoration’s are carried out efficiently and that the necessary approvals are gained.
    • Oversee new building openings, expansions and significant day two projects working together with the EMEA projects team and subsequent vendors to meet project scope, managing communication with the occupants, country leaders and works councils.
    • Work together with the EMEA Leasing and Transaction Specialist on decommission strategies throughout the business and execute for responsible countries.
    • Report on risks, budget changes, delays and overall project-related timelines and delivery details across various meetings and within reporting lines.

     

    Financial Management

    • Work together with the EMEA Finance Manager to prepare annual budgets, manage and report on monthly operating expense for the region versus budget, including providing forecasts.

    Procurement and Sourcing

    • Work together with the EMEA Procurement team to ensure our key suppliers remain competitive whilst providing a quality service, and new services are procured using a robust sourcing framework.

    Legal

    • Comfortable with legal terms and structures for standard commercial contracts and leases.

    Requirements

    • Experience in a facilities and real estate environment
    • English and French fluency
    • Excellent communicator with CRM expertise
    • Advanced Microsoft Office skills
