    Program Officer

    Description

    Position holder provides day-to-day program coordination and operational support to the Director, Southern Africa and a team of Senior Program Officers (SPO) in advancing the overall role of the ESARO team of managing and providing oversight of projects in the East and Southern Africa region. The holder is an integral part of the team, ensuring effective coordination and implementation of team and project-related activities that are of interest to the ESARO team. These are related, but not limited to organization and coordination of team and project-related meetings; drafting of project documents; organization of project documentation; and participation in business development activities, as may be required.

    Job Summary / Responsibilities:

    • Support SPOs for assigned countries and projects in areas including start-up, work planning, budget development, program reporting, close-out, and general problem-solving.
    • Coordination Of Meetings And Events
    • Develop and maintain a central calendar of team and project-related meetings and events to ensure smooth flow of these activities within the team
    • Ensure changes to meetings and events are updated and notified to participants on time to avoid delays and other disruptions to activities.
    • Knowledge Management And Communication
    • Support SPOs for assigned countries and projects in documenting project approaches and achievements.
    • Support SPOs with organization and maintenance of regional office, country and project files on the organization’s central filing system
    • Assist the SPOs with the dissemination of regional-level communication updates, memos, and circulars to country offices and project teams.
    • Development And Dissemination Of Program And Technical Resources
    • Support SPOs in the development and roll-out of regional-level team and project resources such as tools, templates and practices.
    • Updating Country And Project Information
    • Support SPOs in developing and updating country and project information on the website, fact sheets and other materials.
    • Review And/or Drafting Of Project Implementation Documents
    • Support SPOs with the review of project documents such as annual work plans and budgets, work-at-risk memos (WAR), subaward documents, and award/subaward modifications.
    • Business Development
    • Support SPOs in in identifying funding opportunities and participating in resource development efforts, including development and/or review of proposal narratives and budgets.
    • Liaise with colleagues in the Business Development unit around proposal calendars and proposal activity planning.
    • Perform any other duties as may be assigned.

    Qualifications

    • Bachelor’s degree in a relevant field.
    • 3+ years’ experience in a program support role.
    • Experience with donor-funded projects, particularly USAID and/or PEPFAR.
    • Strong written and verbal communication skills.
    • Ability to work both independently and in teams, within a fast-paced environment.
    • Sensitivity to cultural differences.
    • Proficiency in Microsoft Word, Excel and PowerPoint.
    • Availability to travel up to 25% within the region.
    • Fluent written and spoken English required.
    • Initiative in identifying and resolving problems.
    • High level of attention to detail.
    • Ability to manage multiple tasks simultaneously and set priorities.
    • Ability to locate and compile information from various sources.
