    Executive Personal Assistant

    Job Description

    Primary role will provide support to the managing director and the leadership team by offering a wide range of administrative and executive support-related tasks. The role provides administrative skills in an interesting environment while supporting and interacting with a broad network of colleagues and stakeholders.

    Essential Functions

    • Screening calls and re-directing calls as appropriate and take adequate messages when required;
    • Collect and distribute parcels and mail.
    • Welcoming visitors.
    • Manage outlook diaries of MD and meetings and appointments for leadership team.
    • Manage the MD’s expenses.
    • Internal and external correspondence and communication on behalf of the MD and executive team,
    • Collation of information for input into operational reports for Exco and Board meetings. -Liaison and management of suppliers (Travel agent, car hire, accommodation, office maintenance, etc..)
    • Planning and organising meetings and events,
    • Organising travel and preparing complex travel itineraries,
    • Writing minutes and taking action points, preparing documents for meetings,
    • Preparing presentations and reports,
    • Sourcing and ordering stationery and office equipment, Managing projects as requested, Working outside office hours as and when required.
    • Provides clerical/administrative support

    Specialized Knowledge & Competencies

    Basic Qualifications (Including Educational Requirements)

    • Minimum 3-5 years’ of executive assistant experience
    • Matric plus a relevant office management degree
    • Advanced Word, Excel, PowerPoint and Microsoft Outlook experience
    • Excellent typing skills and speed .
    • Strong interpersonal skills and the ability to work in a team
    • Driver’s License
    • Telephone Skills and etiquette
    • Excellent Verbal and written Communication skills
    • Listening skills, reliability and flexibility
    • Professionalism and Customer Focus
    • Efficient , organised and strong attention to detail
    • Self- Motivated, proactive and ability to prioritise tasks
    • Strong Administration skills
    • Discretion ad utmost respect for confidentiality.
