    Procurement Executive

    Job description

    PURPOSE OF JOB

    Under the supervision of the Procurement Manager, monitor the sourcing activities for assigned local categories, whether products and/or services, to achieve the lowest purchasing cost (Total Cost of Ownership or TCO) for the local market while ensuring company quality standards are met.

    Tasks to be fulfilled by this position include

    • Contributing to the functional strategies in sourcing local products/services
    • Clarifying with the internal customers their requirements in terms of products/services and specifications
    • Conducting market intelligence to identify relevant suppliers
    • Conducting RFIs, RFPs and RFQs processes, as well as negotiations with suppliers
    • Coordinating the preparation and review of contracts together with the Law department
    • Monitoring supplier performance according to standards/criteria defined in the contracts
    • Improving supplier performance by defining and recommending corrective action plans
    • Identifying and reporting on products/services which can be synergized to a regional/global level (PMI Procurement Centers in Lausanne/Madrid).

    PRINCIPLE ACCOUNTABILITIES

    PRODUCTS AND SERVICES NEEDS

    Review and/or define together with customers their business requirements in terms of products/services needs and related standards requirements in terms of products/services needs and related standards of quality in order to establish the appropriate sourcing strategy/ies for the assigned category/ies.

    MARKET INTELLIGENCE ACTIVITIES

    Conduct market intelligence activities (including RFI) to improve knowledge of available products, services and suppliers on the market.

    PRODUCTS AND SUPPLIER BASE ANALYZING

    Analyze current products/services portfolio and supplier base in order to identify cost savings and synergy opportunities and further consolidate the sourcing strategy/ies) of the Purchasing function, primarily for local categories.

    LOCAL PURCHASING ACTIVITIES

    Liaise with peers and/or category managers in the PMI Procurement Centers (Lausanne/Madrid) to determine which products/services can be synergized and ensure local purchasing activities are complying with the PMI Procurement Policy, whether from a processes or systems standpoint.

    QUALITY OF PRODUCTS AND SERVICES

    Identify appropriate products/services and preferred supplier's) based on defined standards of quality and cost savings targets.

    NEGOTIATIONS

    Conduct RFPs, RFQs and negotiations with suppliers to address the defined cost saving targets and standards of quality of products/services to be purchased while streamlining the supplier base; recommend selected supplier for approval by the internal customer's).

    BIDDINGS

    Conduct competitive bidding (whenever required) through the sourcing application

    SUPPLIER CONTRACTS REVIEWING

    • Coordinate the preparation and/or review of supplier contracts with the Law department, including aspects related to e-Catalogue implementation.
    • Upon contract's) being signed, input/confirm supplier data in SAP (following data alignment process) and, whenever relevant, coordinate upload and testing of local e-Catalogues with the supplier, the Requisition provider.

    SUPPLIER PERFORMANCE

    • Assess supplier performance based on the KPIs defined in the contracts.
    • Report on issues and recommend appropriate corrective action plans.
    • Improve business relationship with internal customers and suppliers by conducting regular reviews to ensure customer requirements are communicated to suppliers and expected targets in terms of performance and products/services quality are met.
    • May have responsibility for the e-Sourcing tool as local super user.

    CHALLENGES

    • Ability to identify products/services to be synergized at regional/global level and convince local customers and suppliers about the added value of such synergies.
    • Ability to balance optimization between cost and quality of local products/services to be purchased.
    • Ability to position the Purchasing function as a value adding business partner towards internal customers and suppliers in an environment requiring compliance to processes and increased use of technology.
    • Ability to align local sourcing processes to comply both with the PMI Procurement Policy and local regulations and business requirements.

    Qualifications And Experience

    • University degree in Business Administration or Economics
    • Diploma from a recognized Procurement Institute is an asset
    • Minimum 3 years of experience in sourcing products/services with
    • Exposure to a multinational environment, preferably within a FMCG
