Key Responsibilities of the Facilities / Reception role:
- Front desk reception, meet and greet all visitors
- Ensure an exceptional hospitality experience for visitors in every way (escort to correct office, offer coffee)
- Order office equipment, furniture, arrange delivery and payments
- Order Computer hardware from supplier and arrange payment
- Arrange for IT suppliers to set up new computers
- Grocery shopping and other shopping (online and driving to stores)
- Stationery orders
- Order gifts for clients
- Filtered drinking water deliveries
- Ensure that offices are always stocked with necessary items
- Report maintenance and security issues to the Building Manager, arrange for outside suppliers where applicable
- Report telephone faults to Telkom
- Report IT issues to our Suppliers
- Ensure that the offices are neat and tidy and in accordance with brand guidelines
- Ensure office plants are watered
- Manage cleaning team (ensure expectations are met, run performance reviews, manage leave, identify areas needing training)
- Communicate Facilities updates to the entire team (eg when renovations take place, security updates etc)
- Check post boxes and ensure mail is delivered to the appropriate office
- Sign for parcels
- Manage the Convergency office space including the camera and filming area
- Weekly laundry management
- Manage office keys
- Ensure store rooms are managed and content list is updated
- Travel arrangements, booking flights, car rentals, hotels
- Organising catering for specific events when needed
- Adhoc admin support to the Convergency team
- Marketing support to the Marketing Specialist
