    Assistant Facilities Manager

    Job description

    An opportunity has arisen to join Sodexo, a leading global Facilities Management business.     We are offering an excellent opportunity for an Assistant Facilities Manager to support our operations. Your main responsibilities will be to support the IFM Operations strategy and also to enhance our relationship with all stakeholders in view of employees and customers. Reporting to the Facilities Manager, your mission will be to support the administrative functions and assisting in the daily facilities services within the project. The role of the Administrative Assistant is to assist the Facilities Manager in all administrative processes, internal communications, manage the CMMS (computerized maintenance management systems).

    You will also ensure and assist in all facilities operations for the exterior and interior facilities including electrical, refrigeration, plumbing, heating, cooling, structural, ground care, parking areas, and other Facilities/ maintenance work necessary to maintain the property in an optimum and efficient condition, including .

    Role Responsibility:

    • Document all works order request.
    • Generate work orders
    • Input data into CMMS system
    • Control all departmental internal documents
    • Assist in maintenance schedules and update PPM PO`s and admin tasks
    • Generate reports pertaining to maintenance, personnel and inventory
    • File all documentation as required
    • Manage the inventory of materials and tools as required
    • Receive all requests for maintenance in the appropriate manner
    • Keep all records up to date in accordance with contracts procedures related to the service descriptions
    • Keep the maintenance manager up to date with all maintenance requests and their status
    • Keep the asset registers up to date at all times
    • Create and track all procurement requests from request to receipt
    • Participate and advise on employee benefits and rewards within the guidelines as set by Group

    Ideal Candidate:

    • Grade 12 and with diploma/ national certificate in facilities related fields, or
    • Five (5) years’ experience in Facilities environment related to IFM general industry.
    • Building & reporting on data sheets reflecting monthly facilities operations & data captured of the month.
    • Knowledge of facilities procedures/ processes
    • Financial experience in general
    • Experience in the administration of inventories
    • Experience in generating reports/ data capturing
    • Good organizational skills
    • Good oral and written communication skills
    • Ability to work autonomously or as part of a team, ability to work under pressure
    • Excellent knowledge of standard software tools (Excel, PowerPoint, and Word).
    • Flexible, adaptable to changes but with strong focus on deadlines
    • Be sensitive and understanding towards cultural diversities
    • Ability to learn and acquire new skills and ideas
    • Must be well spoken (clear & understandable) and fluent in English.
    • Must be able to communicate with clients (written & oral)
