    Admin/Office Management

    The Impact:  

    • We are looking for a self-driven individual who works effectively as part of a team and is able to interact with clients both internally and externally.

You are based in a modern office environment in Rosebank/Johannesburg with flexibility to work from home at times.

    Responsibilities:

    • Administrative support for Johannesburg-based staff members, across all S&P divisions. The support provided includes:
    • Arranging travel & relevant visas in collaboration with local travel agency as well as processing of travel expenses using Concur system (training will be provided)
    • Ordering of stationery for the teams, photocopying, printing, distribution of mail.
    • Fielding of phone calls and dissemination of client queries
    • Setting up of internal/external meetings via Outlook, Teams, Zoom
    • Inputting client calls/visits in Salesforce, (training will be given) and management meeting notes into a central repository and responsible for periodic clean-ups of data (training will be provided)
    • Supporting of rating analysts’ committee preparations as far as compliance guidelines allow. Working as part of a team of AA’s across EMEA using a shared mailbox and calendar. Training will be provided.
    • Attendance and co-ordination of action points arising from daily/weekly team “huddles”
    • If required holiday/absence cover for other admin assistants in EMEA

    Overseeing and managing operations within the office. This includes:

    • Managing and overseeing reception and cleaning staff
    • Organising the necessary support from facilities, third party service providers, IT etc. to ensure that problems are dealt with on a timely basis and the office runs smoothly
    • Raise and track IT tickets and invoices, liaising with IT and off-shore IT department
    • Ordering of replacement equipment for the various teams, i.e. new laptops, iPhones, IT peripherals. 
    • Updating of Department telephone lists and contacts for business continuity purposes.
    • Co-ordination of events in collaboration with the managers and events team.
    • On/off boarding of new starters, interns and graduates
    • Some presentation work using Excel and PowerPoint, ability to create/update org-chart

    What we’re looking for:

    • You have up to 5 years of experience as an administrative assistant, executive PA or office manager
    • You will be committed and willing to learn about the business,
    • You are a self-motivated problem solver with the ability to pick up challenges quickly, think through them and come up problem solving solutions
    • Be able to work in small and virtual teams while building relationships that would provide support to get the job done successfully
    • Good time-keeping and excellent organizational skills
    • Ability to stay calm under pressure and focus on the job that needs to be done
    • Solid attendance record is essential
    • Good Microsoft Office skills (Outlook, PowerPoint, Excel required).
