    Asset & Procurement Lead - ITS

    The Assets and Procurement Lead oversees the daily activities of Assets purchasing and movement; reviews technology purchasing decisions, orders, and vendor contracts; assists with the ordering of materials and supplies from vendors; researches, interviews, and negotiates with suppliers to obtain prices and specifications; creates purchase orders for the acquisition of materials and performs related administrative tasks. Furthermore, is responsible for assisting with the development and implementation of Authority Policies and Procedures pertaining to inventory control for moveable equipment, managing and conducting physical inventories of equipment, and maintaining inventory records of moveable equipment within the Asset Management System. Interacts closely with all internal employees and external vendors/contractors.

    Key Responsibilities
    Asset and Procurement Management:

    • Assist with purchasing and managing assets as assigned.
    • Responsible for product support and warranties, maintenance, and software contracts, as well as hardware purchases, and license information
    • Maintain contract data
    • Create all purchase requisitions for the business
    • Maintain appropriate levels of consumables
    • Receiving and tagging equipment.
    • Auditing inventory for KPMG Offices
    • Entering asset information into asset tracking software system.
    • Obtain and review competitive quotes, and proposals from vendors and contractors; discuss evaluations. and review with requesters and subject matter experts
    • Provide pricing quotes for items and preparing orders with suppliers
    • Ensure line items of the purchase order with the packing slip and ensuring the quality of the materials received.
    • Responsible for shipping defective equipment to vendor and arranging replacement.
    • Research products and equipment; prepare product/equipment specifications
    • Research websites/contact vendors to gather technical information and prices on supplies and equipment.
    • Update the inventory listing of property on all new deliveries.
    • Maintain repository of enterprise software licenses/keys.
    • Assist with updating and maintaining inventories for all equipment and supplies including location, asset tag number serial number make and model of equipment.
    • Coordinate with ServiceDesk onsite service calls for equipment installation and maintenance as needed
    • Maintain and oversee new and existing statistical and analytical reports to inform the management of asset management metrics and trends

    Asset Budget / Documentation

    • Assists the Service Delivery Manager with preparing purchases
    • Assist with drafting, revising and circulating purchase and procurement guidance
    • Assist with issuing asset management procedures
    • Assist Finance with calculating depreciation for all fixed assets.

    Vendor Relationships

    • Establish and maintain vendor relationships.
    • Negotiate with vendors for the best price over contracted services and purchases
    • Coordinate with selected vendors on supply and delivery of purchased items.

    Assets EOL-End of life management

    • Responsible for recording all End of Life (EOL) inventories and disposal for all KPMG offices
    • Responsible for decommissioning assets and oversee surplus removal as needed
    • Identify future opportunities for savings
    • Develop policy for use and disposition of moveable equipment, such as disposal, transfer, recycle, trade-in, donation or surplus.

    Staff Management

    • Performance managing the team
    • Coaching sessions for the team
    • Development of the team

    Skills And Attributes Required For The Role

    • Skills:
    • Supply chain management or CIPS experience
    • Experience of at least +5 years in high volume fast paced office environment
    • Experience in software licensing, large volume purchasing agreements
    • Experience in presenting technology recommendations from a business perspective
    • Experience in planning and carrying out audit and reconcilements
    • Knowledge of the current MS Office products, particularly Excel (Advanced Excel skills) required.

    Minimum requirements to apply for the role (including qualifications and experience):

    • Advanced Excel skills
    • Experience of at least +5 years in high volume fast paced office environment
    • 3 to 5 years working experience supporting/extending ERP/Enterprise Business systems (Oracle) as a Business Systems Support Specialist
    • Product vendor training on some key modules
