    Estate Manager- Hermanus

    Job Description
    The Faircape Group owns and manages six luxury lifestyle / retirement villages throughout the Western Cape.We are looking for an energetic, competent and experienced Estate Manager at our Onrus Manor facility to assist with the management and general well being of this exclusive village.    

    You will work with Faircape ensuring compliance, assessing current working and business practices, implementing effective maintenance programmes for continual improvement and sustainability of the Estate and the Healthcare Centre.

    This role will implement the maintenance programmes, continual improvement plans for the Estate and Healthcare Centre and the effective management of all the relevant term contractors and suppliers.

    You will be responsible for ensuring that this world class Lifestyle Estate and Healthcare Centre is maintained to the highest possible standards by implementing and sustaining efficient and effective management and safety processes.

    Duties include but are not limited to the following:

    Property and Equipment Management

    • Be instrumental in directing the coordinating, planning and of all essential amenities and services such  as security,  gardens, waste disposal, recycling, etc.
    • Implement the strategic planning of projects, systems and future development. 

    Service Delivery 

    • Demonstrate  and  promote a strong service and professional ethos throughout all staff and contractors to maintain the highest levels of service delivery.
    • Be responsible for the management of the maintenance assistants and ordinate day-to-day duties.
    • Identify required Estate maintenance and manage progression.
    • Supervise and  prioritise tasks projects.
    • Coordinate and supervise resident maintenance requests timeously proactively.
    • Comply with company rosters and schedules to drive the efficiency of service delivery.
    • Manage requisition system for Body Corporate and Health Care.  
    • Authorise requisitions and follow up delivery.

    Contractor and Supplier Management 

    • Facilitate communication between management and contractors to ensure streamlined service delivery.
    • Supervise security, garden service and on-site maintenance contractors.      
    • Manage the service delivery of agreed external service provider’s SLA and deliver feedback to provider should service not be provided as per agreement or in the case of any staff issues that might occur 

    Staff Management  

    • Manage the driver 
    • Monitor staff attendance through daily clock to pay systems.
    • Monitor staff holidays and ensure the normal functioning of tasks during these times through allocation of duties.
    • Participate with the HR department in recruitment and selection of staff.
    • Manage staff time owing where applicable in communication with payroll.
    • Encourage your staff to maximise their potential through leadership, training, support and guidance.

     Management and Collaboration

    • Prepare reports and recommendations to the Village Manager for discussion at trustee and management meetings. 
    • Abide by company policies and processes. 

    Leadership and Relationships

    • Promote good communication as part of the management team in the Estate among residents, staff, tenants and visitors. 
    • Execute duties by effective, sensitive and information communication with staff members, contractors, management, residents and authorities and by fostering strong relationships with all these stakeholders.
    • Manage change and lead to ensure minimum disruption to core activities, e.g. disruption during renovations and ongoing development.

    Health and Safety 

    • Conduct regular iPad audits and ensure that all  non-compliance  items  are resolved as quickly as possible.
    • Convene and chair monthly Health & Safety Meetings.
    • Ensure all   involved parties and stakeholders are regularly informed of updated processes/changes, i.e. emergency services, security, elected emergency staff and resident volunteers, etc.
    • Conduct regular Village “Walk-Abouts” and be proactive in identifying possible hazards and implementing solutions.
    • Prioritise the safety of residents and employees.
    • Be available for emergency situations, e.g. evacuations, etc.
    • Manage Security Contractors and check reporting systems, implement and continually update the Security Operating Plan for the Estate

    Qualifications:

    • Grade 12
    • Tertiary qualification as advantage 

    Experience and Knowledge:

    • Experience in management of systems and procedures, also the implementation thereof; solid experience in a management and leadership position, management of service providers and SLA’s, health and safety, experience in maintenance and basic building knowledge

    Skills and Attributes

    • Computer literate (experience in Google Drive, Sheets and Docs preferable)
    • Excellent leadership, interpersonal and communication skills.
    • Efficient, able to multi-task and willing to be a team-player. 
    • Strong admin skills 
    • Able to perform under pressure
    • Deadline driven
    • Time management
    • Project management 

    Specific Requirements

    • Solid and positive references
    • Clear health record
    • Clear credit record
    • No criminal record
    • Normal working hours are Mondays to Fridays from 08h00 until 17h00 with a 45 minute lunch break. The company allows employees, by approval of the direct manager, to work flexi time between 07h00 and 18h00.

    Salary on offer from R 25 000.00 Cost to Company per month.
