    Executive Personal Assistant to the Executive Head

    Position overview

    As the Executive Personal Assistant to the Executive Head, your primary role is to provide dedicated support to the Executive Head of Redhill School, including assistance to the School Executive Team and the School Trust. Your ability to anticipate needs, offer solutions, and maintain the utmost professionalism and confidentiality will be highly valued.

    Key responsibilities

    • Personal assistant to the executive head: Provide comprehensive personal assistant support to the Executive Head, ensuring seamless day-to-day operations.
    • Executive team assistance: Assist the School Executive Team in various administrative tasks, special projects, and document preparation to facilitate effective leadership.
    • School trust liaison: Act as a liaison and provide support to the Redhill School Trust. This includes coordinating Trust meetings and events, drafting agendas, preparing presentation materials, and maintaining compliance with applicable regulations.
    • Calendar management: Manage the Executive Head's calendar, effectively prioritising inquiries, troubleshooting conflicts, and making recommendations to ensure smooth operations.
    • Communication Bridge: Foster clear communication between the School Executive Team and the Redhill Trust. This involves maintaining open dialogue with the Chairman of the Redhill Trust to uphold credibility, trust, and support.
    • Primary point of contact: Serve as the main contact for internal and external matters related to the Executive Head, School Executive Team, and the Trust. Prioritise and determine appropriate responses while reflecting the team's style and organisational policies.
    • Proactive assistance: Collaborate closely with the Executive Head and School Executive Team to ensure they are well-informed about upcoming commitments. Anticipate their needs ahead of meetings and conferences and stay attuned to relevant environmental factors.
    • Office management: Oversee all aspects of the organization's office services, evaluate office policies and procedures.

    Qualifications and experience

    The successful candidate will possess the following qualifications:

    • Strong commitment to diversity, equity, and inclusion.
    • Extensive executive support experience, including supporting C-level executives.
    • Non-profit board experience is highly preferred.
    • Expert proficiency in Microsoft Office and desktop publishing software. Ability to design and edit graphic materials.
    • Technical proficiency and excellent problem-solving skills.
    • Exceptional verbal and written communication skills.
    • Impeccable organisational skills and keen attention to detail.
    • High degree of professionalism when interacting with diverse groups, including Trust members, senior executives, and staff.
    • Ability to make informed decisions regarding priorities and time management.
    • Capacity to handle a high volume of tasks and projects independently.
    • Quick response and turnaround for urgent situations.
    • A commitment to maintaining confidentiality and displaying a high level of integrity.
    • Exceptional judgment in decision-making.
    • Adaptability to switch tasks and priorities efficiently.
