    Head Of Finance And Administration

    About the job
    JOB PURPOSE 

    • The Senior Bookkeeper plays an important role, being not only responsible for all bookkeeping duties and tasks, but also assisting the Business Owner and managing staff on all matters finance and administration. 

    DUTIES

    • Safeguarding the company’s short and long term financial health and profit objectives in close co-operation with and support of the Business Owner through: 

    Finance and Administration: (Refer Annexure A.) 

    • Ensuring the accurate, timeous financial and administrative recording and reporting of the company’s past, present and future activities, and objectives.  
    • Ensuring that the company meets its legal and statutory obligations. 
    • Ensuring the company meets its internal and external financial obligations. 

    Controlling and Risk Management: 

    • Ensuring that there are proper controls in place to monitor, measure, insure and minimise the risk posed by the company’s internal and external activities and environment in which it operates. Includes the responsibility for Occupational Health and Safety. 
       

    HR and Organisation: 

    • Ensuring that the organisation and its people work effectively and in accordance with company policies, procedures, and guidelines. 
    • Ensuring that the company provides a safe, stimulating, and conducive work environment for its employees. 
       

    External Business Environment: 

    • Ensuring that the company builds and maintains proper and conducive relationships with all third parties it engages with. 

    IT: 

    • Ensuring that the company’s IT and Communications network is operational at all times in conjunction with the service provider. 
       

    Supply Chain Management 

    •  Ensuring and exercising the control over the optimal flow of goods and services including procurement and logistics 
       

    Advice and Counsel 

    • The Senior Bookkeeper provides the management team -of which (s)he is a member- with reports and counsel when required on all matters financial, procurement, admin, IT and HR. 
       

    Assistance 

    The Senior Bookkeeper provides the Business Owner with assistance on a range of matters within the ambit of the seniority of the position. 
     

    • Full accounting function including: cashbook processing and reconciling, credit card processing and reconciling, month end procedures eg. Salary journals, depreciation, accruals, 
    • Payroll Processing and administration  
    • Process leave, maintain register and file leave forms 
    • Reconciliation and submission of the IRP501 reconciliation for August and February using the Easyfile system. Preparing employees IRP5’s. 
    • Maintenance of the asset register 
    • Liaison for the short term insurance policy including additions, claims and changes 
    • Liaison for SARS eg Tax clearance certificates and applications for tax directives 
    • Maintaining the approved payment terms with suppliers and applying for new accounts where necessary 
    • BEE Certification process including preparation of BEE file and documentation 
    • VAT calculation and submission 
    • PAYE/UIF calculation and submission 
    • Statutory records maintenance e.g. annual returns 
    • Oversee the allocation of all debtors receipts and requesting remittances 
    • Oversee the follow up on debtors queries and manage the debtors book. Assst debtors clerk with challenges and payment issues 
    • Year-end procedures, work closely with auditors for the annual reviews / audits 
    • Manage payments submitted to directors 
    • Filing 

    Job Requirements: 

    • Suitable qualification, ideally a tertiary education in accounting 
    • A minimum of 10 years work experience in a similar industry and career environment with comparable responsibilities. 
    • AdvancedXERO user* 
    • Advanced Excel user* 
    • Advanced writing skills in English and Afrikaans* 
    • Advanced soft skills with leadership qualities*
